Requirements

  • Proven corporate event planning experience, with expertise in end-to-end logistics, vendor management, and on-site execution
  • A strong grasp of the Mercury brand with the ability to apply it seamlessly across diverse projects and experiences
  • Deep appreciation for quality and design, with a sharp eye for details that elevate an experience
  • Ability to multitask and stay organized across multiple platforms, juggling deadlines and managing competing priorities with ease
  • Advanced proficiency in spreadsheets and logistical planning tools, ensuring events run smoothly and efficiently
  • Excellent communication and follow-through, keeping teams aligned and ensuring flawless execution

Responsibilities

  • Plan and execute company events (both virtual and in-person), including our annual all-hands offsite, a virtual conference, milestone events, and other celebrations—from initial concept to seamless day-of execution
  • Create engaging employee programs focused on recognition, celebration, and culture-building, enhancing the overall employee experience
  • Own merchandise production for company initiatives, managing design coordination, vendor selection, manufacturing oversight, and distribution logistics to ensure high-quality execution
  • Maintain and manage a detailed internal event calendar, ensuring seamless scheduling, coordination, and visibility across teams
  • Lead on-the-ground event execution, overseeing set-up, venue management, vendor coordination, and staff communication to ensure smooth operations
  • Research, vet, and negotiate with venues, caterers, and other key event vendors to secure premium experiences that align with Mercury’s brand and quality standards
  • Track budgets, forecast costs, and ensure cost-efficient planning without compromising experience quality
  • Provide detailed financial summaries and post-event reconciliations in collaboration with team leadership
  • Oversee logistics coordination, managing activity sign-ups, schedules, and transportation planning in structured spreadsheets
  • Coordinate attendee logistics, including activity registrations, transportation arrangements, and real-time updates, to ensure a seamless experience
  • Manage vendor contracts, invoices, and payments, ensuring alignment with budget expectations and event needs
  • Serve as a cultural ambassador, upholding Mercury’s values and ensuring that all experiences reflect our commitment to design, quality, and thoughtful execution
