Summary
Join Mattel's Day Out With Thomas touring program as a traveling/remote Event Coordinator! This exciting opportunity involves managing 25+ events annually across the US and Canada, requiring travel to up to 15 events per year. As the main point of contact for host railroads, you will oversee site planning, marketing, retail operations, and activities. Responsibilities include reviewing event plans, maximizing marketing opportunities, tracking ticket sales, and ensuring on-site event execution. You will also assist with event setup and breakdown, submit post-event reports, and contribute to continuous improvement. This role demands strong communication, project management, and organizational skills.
Requirements
- 3-5 years of experience
- Must be able to travel approximately 70% of the time
- Must be able to lift approximately 30lbs
- Strong presentation and communication skills โ written and oral
- Must be self-motivated and proactive
- Must be a team player with strong interpersonal skills and the ability to build relationships with internal and external partners, lead and manage teams
- Must be highly organized, detail-oriented, and be able to work independently
- Strong project management skills
- Must be proficient in Microsoft Word, Excel, PowerPoint, and Outlook
- Must be professional at all times and positively represent Mattel when traveling and with partners
- Bachelorโs Degree or equivalent
Responsibilities
- Serve as the main point of contact for partner railroads
- Clearly communicate policy and process changes to railroad partners
- Discuss previous yearโs event report and focus on solutions for past areas of improvement
- Track and obtain event documents/templates by due date from the railroad partners; Review and provide recommendations and branding opportunities for presented plans
- Serve as a liaison between internal partners and railroad partners to increase event experience and highlight other lines of business
- Review the setup of an event once on-site and assist as needed on final preparations
- Set up operations assets from event crates and any inflatables, and banners
- Assist the railroad with any retail setup needed, including setting up retail racks, tables, opening up boxes of product and merchandising product, etc
- Ensure the Thomas replica is always in pristine condition and on brand
- Observe the event and identify ways to improve
- Assist with wrap-up following events, including ensuring all assets are packed up and ready to go to the next location
- Assist with wrap-up of retail space, packaging, labeling, palletizing, and shrink-wrapping any merchandise going back to the warehouse
- Send final reports, numbers, and return information back to the team and warehouse
- Create an event report following each event โ due to the partner railroad no later than 60 days after the event ends and send final invoices
- Clean and repair touring crates, as needed
- Keep track of touring assets, including event crates, merchandise deliveries, and replica engines
- Create ideas and build for new event assets; compile estimates and prepare proposals for implementation
- Obtain daily sales documentation for ticket sales and upcoming weekend capacity
- Communicate national marketing initiatives to railroads and drive reactive marketing programs, as needed
- Ensure timely delivery of the marketing plan; review the marketing plan and provide recommendations for additional efforts; Approve all marketing and advertising for partner railroads
- Continuously review online marketing efforts to ensure quality control
- Run post-event reports, including zip code analysis, promo code reports, and evaluate marketing results
- Champion special marketing efforts with social media and influencers, etc.; communicate the process to the team and railroads
- Assist in brainstorming the activation of the theme each season and how to deliver on-site
Preferred Qualifications
Experience in Live Events/Themed Attractions/Ticketed Touring Shows
