Requirements

  • Bachelor’s Degree required with 8-10 years event planning experience and demonstrates in-depth pharma guidelines experience
  • Exceptional Communication and Interpersonal Skills: Demonstrates strong written and oral communication, diplomacy with key stakeholders, and a positive, approachable demeanor that fosters collaboration and builds trust
  • Strong Organizational and Project Leadership Abilities: Exhibits meticulous attention to detail, effective time management, and the ability to independently lead projects while managing multiple priorities in a dynamic environment
  • Creative and Practical Event Planning Expertise: Brings practical knowledge of commercial meeting planning and offers innovative solutions for managing logistics, ensuring seamless execution of events and meetings

Responsibilities

  • Lead Comprehensive Meeting and Event Planning: Oversee project planning and logistics for internal meetings, events, and conventions, ensuring all deliverables, timelines, and objectives are met
  • Facilitate Cross-Functional Collaboration: Organize and lead planning meetings, track progress using master dashboards, and communicate logistics, travel guidance, and key details to internal attendees
  • Execute On-Site Management: Provide hands-on oversight during events, including managing logistics for teambuilding activities, resolving issues in real-time, and ensuring a seamless attendee experience
  • Vendor and Contract Management: Proactively build vendor relationships, manage contracts and payments, and coordinate RFP processes and sourcing for offsite meetings and events as needed
  • Maintain Tools, Systems, and Processes: Build and manage registration platforms, develop meeting specifications, and maintain SOPs and best practices to support smooth operations
  • Budget Oversight and Compliance Adherence: Track budgets closely, ensuring financial/due diligence adherence and fostering compliance with internal policies and regulatory requirements
  • Innovative Event Support: Deliver creative solutions for teambuilding, logistics, and event enhancements while providing planning expertise and support for medical conventions and offsite meetings
