Summary
Join our team as an Associate supporting the Membership, Development, and Finance (MDF) department! This primarily remote role (with 10% travel) offers a starting salary of $29.00-$35.00 per hour (adjusted for location). You will provide executive administrative support to the Vice President, MDF, manage MDF department projects, and contribute to a positive team culture. Responsibilities include project management using Monday.com, revenue-related project support, and maintaining organizational systems. The ideal candidate possesses 3 years of relevant experience, project management software proficiency, and strong communication skills.
Requirements
- 3 years of relevant work experience in a professional office environment, preferably at a nonprofit organization or membership association
- 1 year of experience with project management software, such as Monday.com
- 1 year of experience thinking independently and using discretion, initiative, creativity, energy, and discipline to support a senior leader
- Strong verbal and written communication skills
- Comfortable with ambiguity and thrive in roles that require flexibility, adaptation, and cross-functional collaboration
- Intermediate (or better) proficiency with Excel
Responsibilities
- Support the Vice President, MDFβs internal and external meetings, including scheduling, background research and agenda development, meeting notes, and action item follow-up
- Provide the Vice President, MDF, with administrative support, including completing expense reports and travel arrangements for external meetings and conferences (domestic and international)
- Assist the Vice President, MDF with contract and vendor management
- Provide administrative support for MDFβs annual work planning and track team progress throughout the year using Monday.com
- Provide administrative support for Vice President, MDF and Director, Development in revenue-related projects, including earned revenue initiatives, profitability analyses, and annual Council budgeting process
- Help maintain a strong, collaborative, and learning-oriented department culture by developing agendas, sharing materials, drafting meeting notes, and completing follow-up tasks for regular department meetings, bi-annual department retreats, and other team learning opportunities
- Assist the MDF team with operational activities including creating and maintaining standard operating procedures
- Coordinate MDF updates and communications with full Council staff
- Coordinate external MDF communications to key constituents via mail merge and/or Salesforce
- Ensure MDF Sharepoint folders and files are up-to-date, streamlined, and well-organized
- Update Salesforce records and reports to support Council database hygiene efforts
- Act as flexible department capacity, including supporting projects as assigned while staff are on sabbatical, parental, or other extended leave
- Contribute to overarching organization goals by participating in cross-functional working groups and serving as MDF liaison on interdepartmental projects
- Other duties as assigned
