Requirements
- 2-3 years of experience in Operations , Vendor Management , or Customer Support
- Strong research and analytical capabilities
- Excellent English communication skills (neutral accent preferred)
- Tech-ready with access to reliable laptop (MacBook or equivalent)
- Strong organizational skills and attention to detail
- Proactive, dependable, and able to manage multiple tasks independently
- Familiarity with Google Workspace and Slack
- Flexibility to work PST or EU hours depending on team needs
Responsibilities
- Talent & Vendor Management (40%)
- Vendor Research & Relationship Building
- Research and evaluate vendors such as production companies, co-packers, labs, and agencies
- Conduct preliminary vendor interviews and assist in partnership coordination
- Sourcing & Screening
- Source qualified clinical and non-clinical candidates via LinkedIn and other platforms
- Conduct preliminary interviews to assess alignment and readiness
- Collaborate with internal teams to advance top candidates
- Operational and Financial Support (30%)
- Expense & Payment Coordination
- Execute wire transfers and process vendor/client payments
- Label and organize expenditures accurately for finance tracking
- Tool & Systems Maintenance
- Keep operational records up to date across platforms
- Support in organizing and maintaining CRM, documentation, and internal databases
- Client and Customer Interaction (10%)
- Inbox and Ticket Management
- Respond to customer or patient emails and tickets
- Maintain a helpful, solutions-oriented communication tone
- Executive & Project Support (20%)
- Leadership Team Assistance
- Provide administrative and research support to leadership
- Help coordinate internal projects, calls, and schedules
Preferred Qualifications
- Experience in sales , finance , or entrepreneurship
- Previous work with automation tools or AI platforms
- Prior experience using: Rippling, QuickBooks Online, Carta, Bex, Figma
- Interest or background in startup environments
- Familiarity with vendor ecosystems in production or CPG
- Prior exposure to CRM tools or customer support platforms
