Summary
Join Rocket.Chat as a Payroll Analyst and ensure accurate and timely payroll processing, complying with regulations. You will maintain employee records, handle benefits administration, and support audits. This mid-level role also involves managing office supplies, infrastructure, and accounts receivable. Requirements
- Payroll
- Advanced English skills
- Advanced Google Sheets/Excel
- Payroll review and integration with accounting/finance systems
- Administration of employee benefits (meal/food allowances, health/dental insurance, courses, life insurance)
- Proven experience with end-to-end payroll processing (multi-state and/or international preferred)
- Solid understanding of payroll tax laws, wage garnishments, and labour compliance
- Experience with payroll reconciliations and audit support
- Familiarity with general accounting principles related to payroll
- Bank reconciliation
- Accounts receivable management (invoicing, collections, receivables posting)
- Interaction with banks (operations, statements)
Responsibilities
- Process payrolls accurately and on time, including base pay, overtime, bonuses, and deductions
- Maintain employee payroll records, including new hires, terminations, tax setups, and direct deposit information
- Ensure payroll compliance with local, state, and federal laws, including tax filings, wage laws, and garnishments
- Support internal and external payroll audits by providing documentation and resolving discrepancies
- Respond to employee inquiries regarding payroll issues, tax withholdings, and pay statements
- Collaborate with HR, Finance, and external vendors to optimise payroll processes and resolve system issues
- Oversee day-to-day office operations and facilities in Porto Alegre
- Collaborate cross-functionally to streamline financial and administrative workflows
- Review and coordinate the integration of payroll data into finance and accounting systems
- Administer employee benefits, ensuring accurate data and timely updates across platforms
- Manage logistical tasks such as mail and parcel handling, and oversee internal inventory
- Invoice, reconcile, and manage accounts receivable processes
- Support bank reconciliation and cash flow management activities
- Assist with payroll closing and ensure compliance with employee benefits regulations
- Maintain and control fixed assets, including registration, tracking, and movement
Preferred Qualifications
- Vendor and service contract management (cleaning, security, office support)
- Office supply and infrastructure maintenance control
- Vendor relationship and payment scheduling
- Handling parcel pick-up and drop-off at the post office (Correios)
- Basic asset management: overseeing laptops and IT equipment located in the office
- ERP systems (preferably NetSuite)
- Banking platforms (e.g., Wise, Brex, Santander, etc.)
