Summary

Join our team as a proactive and highly organized Executive Assistant (EA) to support our Founder and CEO in the venture capital industry. You will play a key role in streamlining operations, updating metrics, managing expense reports, and ensuring smooth day-to-day management. As an EA, you will handle phone calls, schedule appointments, manage email communications, maintain the CRM, and assist with administrative tasks. This is a full-time, remote role requiring independence, attention to detail, and strong organizational skills. You will be responsible for contract management and coordination, calendar management, project tracking and coordination, and managing multiple organizational areas. Technology proficiency and adaptability are essential. The role offers opportunities for professional growth and performance bonuses.

Requirements

  • Minimum of 2-3 years of experience as an Executive Assistant or in a similar administrative role
  • Bachelor's degree in Business Administration, Communications, or related field preferred
  • Exceptional calendar and email management skills; experience with AI tools (bonus)
  • Familiarity with project management platforms (Notion, Google Docs, Slack, Granola, Canvas)
  • A proven track record of supporting executives in a virtual setting is required
  • Proactive, resourceful, and capable of anticipating needs before they arise
  • C2 level proficiency in English, both written and spoken
  • Excellent verbal and written communication skills
  • Advanced proficiency in Microsoft Office Suite, Gsuite, Notion, and similar tools
  • Strong organizational and time-management abilities
  • Ability to multitask and prioritize tasks effectively
  • Ability to work independently and collaboratively in a team-oriented environment
  • Attention to detail and problem-solving skills
  • High level of professionalism and discretion
  • Reliable high-speed internet connection with a minimum speed of 50 Mbps download and 10 Mbps upload
  • A modern computer or laptop with a multi-core processor (Intel i5 or higher/equivalent)
  • Proficiency with remote communication tools such as Zoom, Microsoft Teams, Slack, or Google Meet
  • A noise-canceling headset with a microphone for clear communication

Responsibilities

  • Contract Management and Coordination: Understanding the nuances of managing multiple contracts, including the need for confidentiality and sensitivity regarding information shared between different organizations
  • Calendar Management: organizing and optimizing schedules, including coordinating meetings, managing time effectively, and ensuring that calendar aligns with commitments across various contracts
  • Project Tracking and Coordination: The ability to track multiple projects, follow up on deliverables, and ensure that deadlines are met. This includes synthesizing information from various sources and maintaining an overview of project statuses
  • Managing multiple organizational areas: Product, UX, Engineering, QA, Data, DevOps, SRE, Compliance, and Automation across Synlane contrac
  • Technology Proficiency: Familiarity with various tools and platforms, such as Slack, Google Docs, and AI applications like ChatGPT, to enhance productivity and streamline processes
  • Adaptability and Problem-Solving: The ability to adjust to changing circumstances, manage unexpected challenges, and find solutions to logistical issues, particularly in a busy family environment
  • Manage complex calendars, including scheduling and coordinating meetings and appointments
  • Capable of creating high-quality Standard Operating Procedures (SOPs)
