Responsibilities

  • Assist project leads with streamlined communication around project plans, including timelines, milestones, and deliverables for the assigned time-bound strategic initiatives
  • Support project leads with regular project meetings, documentation, status updates, and presentations and/or reports, as needed
  • Update and monitor related Monday.com boards for strategic initiatives and identify project risks and/or timeline delays and escalate to project leads
  • Coordinate project activities and gather or compile project resources and information
  • Ensure effective communication and collaboration among various cross-functional teams working on strategic initiatives
  • Monitor various progress metrics for the implementation team utilizing project management software to generate data-driven insights and support communications regarding team progress
  • Compile existing data from various sources into streamlined and digestible points to best disseminate information amongst the implementation team and external partners
  • Perform basic data analysis, cleaning, and storage functions to align implementation team information with broader evaluation team data practices
  • Support data integrity and security best practices and escalate any data-related issues promptly
  • Provide administrative assistance to the project team, including scheduling meetings, preparing agendas, and handling correspondence
  • Manage project-related documentation, including contracts, invoices, and procurement requests
  • Assist in preparing and processing project-related reports and documentation for internal and external collaborators
  • Maintain an organized system for internal and external facing resources for the project team, ensuring materials stay organized and up to date
  • Attend all staff meetings and retreats, workgroups and other relevant TRAILS meetings as necessary
  • Support TRAILS team with all hands on deck events as needed and other team initiatives

THE ORGANIZATION

Founded at the University of Michigan Medical School, TRAILS ( Transforming Research into Action to Improve the Lives of Students) is among the most innovative and rapidly-growing school-based mental health solutions in the country. Today, our growing team is working toward the TRAILS mission of transforming the landscape of youth mental health care delivery by equipping school staff with the training and resources they need to provide evidence-based and culturally responsible programming to their students.

To date, TRAILS has brought essential skills and resources to more than 14,000 teachers, administrators, and school mental health professionals. Our best-in-class program materials are built specifically for the school setting, and our unique training model is driven by research from the field of implementation science. Our website and library of materials are utilized by educators and clinicians across the United States and in more than 100 countries around the world. While our impact today is greatest in our home state of Michigan, TRAILS is expanding nationally with strong support from education and health sector leaders, public offices, and state policymakers.

THE ROLE

The Implementation Coordinator assists with two concurrent strategic initiatives (Michigan Expansion and Implementation Innovation initiates) that are cross-functional and time bound by providing project and administrative support to the leads of these initiatives via streamlining processes, supporting data management functions, maintaining and updating excellent records, supporting daily operations, and assisting with administrative tasks. The coordinator plays a key role in fostering alignment across these initiatives and provides clear, consistent communication within and across dynamic teams.

At this time, TRAILS Strategic Initiatives are defined as projects that are backed by specific time limited legislative funding. As such, the role is considered to be limited term employment that will not go beyond December 2026. The position is considered a TRAILS team member and will receive full benefits during employment. If a regular, long-term role of interest to the team member becomes available at any point, the team member will be encouraged to apply.

THE RESPONSIBILITIES

Project Coordination (50%)

  • Assist project leads with streamlined communication around project plans, including timelines, milestones, and deliverables for the assigned time-bound strategic initiatives.

  • Support project leads with regular project meetings, documentation, status updates, and presentations and/or reports, as needed.

Data Management Support (25%)

  • Maintain an organized system for internal and external facing resources for the project team, ensuring materials stay organized and up to date.

Team Responsibilities (10%)

  • Attend all staff meetings and retreats, workgroups and other relevant TRAILS meetings as necessary.

  • Support TRAILS team with all hands on deck events as needed and other team initiatives.

COMPENSATION

The hourly wage range for this role is $34.70 - $36.43.
