The ideal candidate will have at least 3 years of experience in accounting, office management, or business operations, proficiency in QuickBooks Online and other relevant software, and strong organizational and problem-solving skills. Requirements

  • Minimum 3 years of experience in accounting, office management, or business operations
  • Proficiency in QuickBooks Online, Excel or Google Sheets, and payroll platforms such as Justworks
  • Strong organizational and problem-solving skills with a systems-oriented mindset
  • Comfortable working independently and managing multiple responsibilities in a small team environment
  • Proven ability to streamline processes and improve internal workflows
  • At least 15mbps for the main internet and at least 10mbps for backup
  • A desktop or laptop that has an i5 processor with at least 8 GB RAM and an i3 processor for backup
  • A webcam
  • Noise-canceling USB Headset

Responsibilities

  • Manage all aspects of Accounts Payable, Accounts Receivable, and Collections
  • Track and categorize both operational expenses and project-specific costs
  • Create and maintain project-specific profit and loss statements and generate firm-wide financial reports
  • Prepare timely and accurate financial data for monthly tax reviews
  • Maintain clean, reconciled books (QuickBooks Online preferred)
  • Collect employee hours in Buildertrend and enter them into Justworks for bi-monthly payroll processing
  • Manage and update resale certificates, W-9s, and other compliance documentation
  • Oversee the day-to-day studio operations to ensure efficiency
  • Streamline vendor management, purchasing processes, and internal administrative systems
  • Maintain digital filing systems and operational documentation
  • Identify and implement improvements to business operations and support scalable growth
  • Collaborate on software evaluations, vendor sourcing, and project management tools
  • Provide support for basic marketing initiatives such as newsletter coordination, CRM tool research, and contact database updates
  • Track project milestones to enhance visibility and planning across teams
