Requirements

  • Minimum 3 years of Accounts Payable experience
  • Outstanding interpersonal and communication skills including written, verbal, presentation and negotiation skills
  • Demonstrated ability to provide leadership, both internally and with external stakeholders
  • Extensive attention to detail in data entry
  • Experience and knowledge of Microsoft products and any other IT products applicable to the role
  • Experience with Quick Books (Accounting software)
  • Experience with Aroflo (Job Management software)
  • Experience with Monday.com (Task Management software)
  • Experience with Microsoft Excel (Company reporting)

Responsibilities

  • Manage accounts payable
  • Enter and update job information using workflow job management software (e.g., labor hours and materials)
  • Assist with the management of the payroll process, including payslips and leave accrual
  • Handle general administration, including reception duties
  • Maintain high ethical standards and procedures of financial management
  • Ensure all reporting obligations are met
  • Complete daily, weekly, and monthly reporting requirements by set deadlines
  • Respond to inquiries from Project Managers or Clients in relation to contract administration
  • Provide general support to the human resources functions and practices to ensure compliance with current legislation, policies, and guidelines
  • Assist with the development and implementation of corporate policy and procedures to ensure legal compliance
  • Maintain accurate financial and legal records in accordance with legislation
  • Operate as an active member of the organization's office team and positively contribute to a growing and responsible organization
  • Demonstrate a broad, informed view which takes into account the interest of the whole organization
  • Archive previous financial year documents (Invoices, Timesheets)
  • Manage the requirements and effective operation of the organization's operating systems and equipment, including IT and telecommunications
  • Manage, collate, and present reports as required
  • Ensure processes and systems are in place with respect to data collection to meet internal and external stakeholder requirements
  • Support staff to record client service data appropriately and timely
  • Prepare reports for funding bodies and other external stakeholders as required
  • Identify, document, and implement continuous quality improvement practices and outcomes
  • Identify opportunities to standardize and improve organizational systems and procedures and work toward the future requirements of the organization
