Summary

Requirements

  • 1–3 years of experience in an administrative, office, or coordinator role; tech or startup environment a plus
  • Excellent organizational and time management skills , with the ability to juggle multiple priorities and meet deadlines
  • Clear and professional communication skills , both written and verbal
  • Detail-oriented with a high level of accuracy and follow-through
  • Proactive and self-directed , with a willingness to take initiative and support wherever needed
  • Team player with a positive attitude and collaborative approach
  • Collaboration and teamwork – Works closely with recruiters, HRBPs, and leadership to support HR initiatives and work cooperatively with others within the organization and other cross-functional stakeholders
  • Discreet and professional , with the ability to handle confidential and sensitive information appropriately
  • Flexible and adaptable , comfortable working in a fast-paced and evolving environment
  • Technically proficient in Google Workspace (Docs, Sheets, Calendar, Gmail); familiarity with tools like Concur, Expensify, and Zoom is a plus
  • Reliable and dependable , with a strong sense of accountability and consistency in delivering high-quality work

Responsibilities

  • Support Executive Assistants with various day-to-day tasks, including but not limited to, calendar management, travel coordination, and expense processing
  • Assist in preparing meeting materials, agendas, and follow-ups as needed
  • Help organize internal meetings, executive briefings, and department events (including logistics like food, supplies, space setup, and cleanup)
  • Monitor shared inboxes, update documents and trackers, and assist with document formatting and distribution
  • Maintain shared calendars and scheduling tools to ensure visibility into executive availability and team activities
  • Support special projects and internal initiatives as assigned by the EA team
