This intermediate to advanced-level position offers a 40-hour work week (8 AM - 5 PM EST, Monday-Friday) supporting a property management client. Based in the Philippines or Mexico, you will manage various administrative tasks, including processing requests, coordinating access, sending invoices, tracking leases, scheduling appointments, and managing communications. Strong organizational skills, proficiency in business software (including Vantaca and MS Office), and excellent communication skills are essential. Responsibilities

  • Collect and process ARC requests where applicable
  • Produce work orders/service requests subject to policy
  • Coordinate access for service providers as required to complete service requests
  • Send invoices to Accounts Payable
  • Track and manage unit leases and unit insurance
  • Process move in/move out applications
  • Schedule move in/move out
  • Process owner verification forms daily
  • Monitor and process clubhouse reservations
  • Schedule and coordinate clubhouse access and inspections
  • Assist with special projects as requested by the Regional Vice President or Community Manager
  • Draft, proof and send communications to the boards and communities, including Issue Eblasts through software
  • Assist managers in preparations for Board meetings and Annual Meetings
  • Track and organize meeting proxies and ballots
  • Schedule and set-up conference room meetings
  • Maintain community contacts for Associations
  • Build and maintain productive relationships with other departments within the company
  • Vantaca – enter and respond to Action Items assigned to ACM role
  • Vantaca – post documents and maintain information in Vantaca (owner contact, Additional Info, etc.)
  • Monitor and respond to email correspondence for personal and regional inboxes
