Requirements

  • Minimum 1 year of experience in project coordination or project management
  • Minimum 1 year of experience with petroleum storage tanks, pumps, piping systems and tank monitors
  • Basic knowledge of mechanical systems and construction projects
  • Prior administrative support experience handling diverse office tasks
  • Proficiency in Microsoft Office Suite (Outlook, Excel, Word, etc.)
  • Experience working with multiple levels of staff and external clients
  • Experience in the Petroleum Equipment or Construction Industry
  • Completion of background check, MVR and physical/drug screening
  • Primarily office-based; must be able to sit and stand for extended periods
  • Occasionally required to lift and carry up to 25 lbs. unassisted
  • Ability to move between office locations as needed for project coordination

Responsibilities

  • Assist in preparing and managing project budgets in collaboration with the Project Manager
  • Monitor and control project costs to ensure they remain within budget parameters
  • Support cost tracking efforts and financial reporting for assigned projects
  • Develop and maintain project schedules to ensure timely execution of project milestones
  • Coordinate and communicate with vendors, contractors, and internal teams to align project timelines and deliverables
  • Track vendor performance, ensuring all work meets required quality standards and deadlines
  • Assist in procurement and scheduling of materials, services, and labor for projects
  • Oversee the daily activities of the project team, ensuring smooth workflow and adherence to project requirements
  • Conduct progress tracking and maintain project documentation, including reports, meeting minutes, and issue logs
  • Work closely with field personnel to resolve onsite challenges and maintain project momentum
  • Ensure compliance with safety standards, company policies, and regulatory requirements
  • Serve as a liaison between internal teams, vendors, and clients to ensure clear and consistent communication
  • Prepare and present project status reports to stakeholders, identifying potential risks and mitigation strategies
  • Document and escalate project issues, delays, and changes as necessary
  • Coordinate project closeout activities, including final inspections, documentation, and vendor compliance
  • Track and resolve punch list items to ensure successful project completion
  • Maintain accurate records of project details, approvals, and completion reports

  • Self-motivated, detail-oriented, and process-driven with strong problem-solving skills
  • Ability to organize workload, set priorities, and follow through with minimal supervision
  • Capable of managing projects effectively while ensuring compliance with deadlines, policies, and procedures
