Summary

The job is for a detail-oriented and proactive Virtual Assistant to support HR functions remotely for a leading human resource management company. The role involves administrative tasks, managing emails, scheduling meetings, maintaining calendars, creating PowerPoint presentations, social media support, and data entry.

Requirements

  • High School diploma or equivalent required. Associate degree preferred
  • At least 2 years in an administrative or virtual assistant role
  • Excellent (English) verbal and written communication skills
  • Proficient with Microsoft Office applications or related software
  • Experience with Canva is required (similar design software is a plus)
  • Experience working with CRM and productivity software is preferred
  • Experience with Zoom, Microsoft Teams, and other virtual meeting platforms
  • Excellent organizational skills and attention to detail
  • Excellent time management skills with a proven ability to meet deadlines at least 90% of the time
  • Ability to prioritize tasks
  • Ability to multi-task and pivot as needed
  • Efficient and error-free setup and coordination of virtual meetings

Responsibilities

  • Perform administrative tasks and services to support the effective and efficient service of the Company’s operations
  • Monitor and manage multiple email accounts
  • Schedule and organize appointments and meetings
  • Maintain and update calendars with accuracy
  • Set up and facilitate Zoom and Microsoft Teams meetings
  • Prepare meeting agendas and materials as needed
  • Record and distribute meeting minutes
  • Develop PowerPoint presentations with high visual and informational impact
  • Design professional and engaging presentations using Canva
  • Create and schedule social media graphics and posts
  • Assist in developing content strategies for social media platforms
  • Monitor and engage with social media audiences as required
  • Update and maintain client records in CRM systems
  • Utilize productivity tools to manage tasks and workflows efficiently
  • Perform data entry and manage digital files
  • Conduct research and gather information as needed
  • Provide other administrative support as required
