Requirements

  • Proven experience in billing, finance operations, or a related administrative role
  • Familiarity with invoicing systems, purchase order processes, and financial reconciliation
  • Experience with tools like QuickBooks Online (QBO), Excel/Google Sheets, and expense tracking platforms
  • Highly detail-oriented with excellent organizational skills
  • Strong problem-solving abilities and a proactive mindset in addressing operational issues
  • Strong communication skills and ability to work effectively in a remote environment
  • Availability to work during US business hours

Responsibilities

  • Process invoices, create and manage purchase orders (POs), and maintain accurate daily tracking sheets (e.g., AT, Stripe)
  • Update weekly performance metrics and manage internal payroll records
  • Oversee month-end activities, including recurring and special invoicing, location updates, and inventory tracking
  • Support as needed with Amazon expense reports, credit memos, and preparing estimates and quotes
  • Create and manage POs and payments within QuickBooks Online (QBO)
  • Process inventory-related payments in coordination with finance and fulfillment teams
  • Collaborate closely with the Invoicing and Fulfillment teams to ensure seamless and accurate financial operations
  • Handle ad hoc operational support tasks as they arise in a fast-paced environment

  • Experience with inventory management or e-commerce operational tools
  • Background in retail, logistics, or fulfillment-based operations
