Summary

Join PosiGen as a Contract Approval Specialist and play a vital role in supporting the Sales team by ensuring all contracts are processed efficiently, accurately, and in compliance with regulations. This hybrid, 2nd shift position requires strong attention to detail, excellent communication skills, and the ability to multitask in a fast-paced environment. You will collaborate with various departments to keep the pre-boarding process on track and ensure timely contract execution. Key responsibilities include providing administrative support to the Sales team, placing outbound calls to customers, scheduling site surveys, troubleshooting issues, preparing sales packets, reviewing and updating documentation, liaising with the Document Control team, researching property ownership, confirming loan approvals, verifying document compliance, collecting original documentation, reviewing Salesforce reports, adjusting sales packets, communicating with internal departments, following up on customer accounts, and performing general administrative tasks.

Requirements

  • High School Diploma or equivalent required
  • 1–2 years of experience in a customer service role, with a proven track record of delivering excellent support
  • Exceptional written and verbal communication skills
  • Strong customer service mindset with the ability to resolve issues efficiently and professionally
  • Proficient in Google Workspace (Gmail, Google Meet, Chat, Drive) and other database systems

Responsibilities

  • Provide administrative support to the Sales team to facilitate contract progression and pre-boarding
  • Place outbound calls to customers to confirm contract details and outline next steps in the process
  • Schedule site survey appointments, coordinating availability with contractors or local survey technicians
  • Collaborate with sales professionals to troubleshoot issues and schedule follow-up calls when necessary
  • Prepare a high volume of sales packets, ensuring accuracy and timely delivery ahead of appointments
  • Review and update sales packets to ensure inclusion of all required and current documentation
  • Liaise with the Document Control team to stay aligned on deadlines, updated forms, and compliance requirements
  • Research property ownership and address discrepancies through local parish or county government offices
  • Confirm receipt of necessary loan approvals for all sold systems
  • Verify that sales documents are fully completed, uploaded, and compliant with Document Control standards
  • Collect original documentation from the Sales team for auditing and compliance tracking
  • Review Salesforce reports to monitor upcoming appointments and the status of signed contracts
  • Adjust sales packets as needed based on rep feedback or feasibility assessments from operations
  • Communicate regularly with internal departments including management, operations, and field personnel
  • Follow up on aging customer accounts in Salesforce and provide timely updates on status
  • Perform general administrative tasks including filing, scanning, faxing, and organizing sales and marketing materials
  • Complete additional duties and special projects as assigned by leadership

Preferred Qualifications

  • Fluency (Bilingual) in both Spanish and English is preferred
  • Familiarity with the solar energy industry is a plus
  • Experience using Salesforce CRM is highly preferred
  • Knowledge of DrawLoop and DocuSign software is a strong advantage
