Summary
Join KCE as a Manager or Senior Manager, Document Control, reporting to the General Counsel & EVP, Regulatory. This permanent, exempt position involves developing and implementing document management and business hygiene across the company. You will own corporate policies, provide employee training, collaborate with IT on data security, lead workflow automation, conduct audits, implement access controls, and interface with Legal and Compliance teams. The role requires managing multiple projects, ensuring compliance, and reporting to leadership. This position offers the opportunity to lead technical improvements and support various business units.
Requirements
- 5+ years of experience in document control and management
- Proven ability to solve problems and identify practical solutions
- Demonstrated experience in project management and working on project teams
- Ability to manage multiple projects simultaneously through to completion
- Ability to identify and assess business opportunities and threats
- Excellent communication skills
- Motivated initiative-taker with strong organizational and time-management skills
- Proven experience delivering time-pressured projects on-time and on-quality
- Proficient in Microsoft Office Suite (including Word, Excel, PowerPoint)
- Ability to work in a small team
- Prolonged periods of working at a computer
Responsibilities
- Own and update KCE corporate policies related to final corporate documentation for projects, including taxonomy for document categorization and naming conventions
- Provide training and support for KCE employees for all manner of document control, including document archival, retrieval and best practices for standardization
- Work closely with IT regarding all data security & governance controls
- Lead workflow automation and controls within SharePoint architecture
- Run routine and ad hoc audits on both corporate and project documentation
- Implement access controls related to sensitive corporate documentation (i.e. technical documents, trade secrets, IP information, etc.)
- Interface with Legal and Compliance teams regarding physical and digital documentation storage and disposal in accordance with retention policies and requirements
- Develop and lead culture of compliance for KCE document controls policies and procedures
- Work closely with all phase-oriented business units and subject matter experts to ensure final project documentation is archived (saved?) appropriately and correctly
- Responsible for change management regarding document controls and SharePoint documentation updates across all Business Units
- Explore and lead technical improvements associated with document controls including metadata management and development of standardized templates for data imports
- Support Finance with documentation management for all external-facing processes, including but not limited to acquisition, divestiture, and financings
- Report to Leadership Team and other company management regarding all manner Project Controls-related matters including necessary investments, and policy changes
- All other duties as required
Preferred Qualifications
Experience implementing information technology and/or artificial intelligence in document controls systems a plus
