Responsibilities
- Coordinate and schedule start dates, ensuring consistent communication and engagement with new hires from offer acceptance through their first day
- Manage the master onboarding and training schedule, including sending calendar invites
- Assist new hires with completing onboarding requirements and provide direct training and support as needed
- Maintain regular contact with new hires through email, phone, and text to ensure a seamless onboarding experience
- Monitor new hire progress during onboarding and training, offering support and feedback to facilitate smooth integration
- Collaborate with IT and facilities teams to ensure new hires have the necessary equipment, access, and workspace. Create clinical system logins (Doxy, TalentLMS, Healthie)
- Ensure timely and accurate completion of onboarding documentation, such as tax forms and benefits enrollment
- Act as the primary contact for remote employees, addressing questions and providing guidance
- Lead virtual orientation sessions to introduce new hires to company policies, values, and culture, fostering connection from day one
- Communicate effectively with recruiting, clinical leadership, care operations, and HR teams to keep them updated on new hire progress and performance
- Handle sensitive employee and contractor information with strict confidentiality
- Promptly escalate issues with tact and discretion as needed
- Build positive relationships with clinical and administrative leaders and external partners
- Support clinical training efforts by learning the roles and responsibilities of defined onboarding cohorts to assist with their integration
- Ensure all onboarding materials are current, relevant, and impactful
- Collaborate with recruiting, leadership, regulatory, and HR teams to keep them informed of new hire progress
- Conduct periodic audits of employee files to ensure data is timely and complete
- Cultivate positive interpersonal relationships with internal teams and external partners
- Gather feedback from new hires to identify opportunities for improvement in onboarding programs, making necessary adjustments to enhance their experience
- Ensure the employee handbook is regularly updated to reflect current policies and procedures
- Continuously improve onboarding materials and training documentation to keep them effective and up-to-date
- Support Fort Health employees by responding to incoming emails/calls/requests and answering questions, providing solutions, and/or escalating requests to more senior team members when necessary
- Maintenance of up-to-date, compliant employee records in HRIS systems
- Process new hire paperwork, including I-9s, and enter new hires into Fort Healthβs payroll system
- Lead new hire orientation and onboarding sessions
- Support new hire onboarding experience
- Create and maintain internal process documentation for the Employee Support team
Preferred Qualifications
- Bachelorβs degree preferred
- Prior work experience in psychology, social work, or counseling organizations
- Experience in providing customer support over email, phone, or live chat
- Experience in onboarding/training
- At least 2+ years of experience in a similar role in a fast-paced, entrepreneurial environment
