Summary
Join Terraformation as a Contract Events Coordinator to support our mission of restoring native forests. You will plan and execute sustainability-focused conferences, webinars, and workshops. This remote US-based role requires experience in B2B event logistics and thrives in a fast-paced environment. You will manage event logistics, coordinate with external organizers, maintain the internal events calendar, and support speakers and attendees. The role also involves pre- and post-event tasks, sponsorship management, and collaboration with internal teams. Pay is $50-$60 per hour.
Requirements
- 3+ years of experience in event coordination or operational roles
- Background in B2B events, including logistics and sponsorship management
- Excellent organizational and communication skills, with strong attention to detail
- Experience with CRM platforms like HubSpot for lead tracking and follow-up
- Self-starter with the ability to multitask and manage timelines in a fast-paced, remote startup environment
- Comfortable using modern event tools like LinkedIn, ChatGPT, and event platforms (e.g., Whova, Brella)
- Experience coordinating cross-functional teams and aligning stakeholders via tools like Slack
Responsibilities
- Manage end-to-end logistics for virtual and in-person events, including sponsored, hosted, and partner sessions
- Track and ensure timely completion of event deliverables such as speaker forms, booth design, and registration
- Coordinate with external event organizers on tech, AV needs, and sponsor requirements
- Maintain and regularly update the internal events calendar for cross-team visibility
- Support speakers and attendees with event research, briefings, slide decks, and program materials submission
- Lead pre-event promotional logistics, including landing pages and outreach planning
- Secure sponsorships, manage vendor relationships and negotiate agreements to maximize event ROI
- Collaborate with marketing and climate impact teams on targeted invitee lists for meeting scheduling and lead capture efforts
- Facilitate internal coordination on booth staffing, speaking schedules, and access logistics
- Assist with post-event processes such as lead imports and attribution in the CRM and nurturing workflows
Preferred Qualifications
- Track record of coordinating with globally distributed teams and managing international events, including navigating time zones, cultural considerations, and regional logistics
- Experience in the climate, sustainability, or impact investing sectors
- Knowledge of demand generation strategies to convert event leads into opportunities
