Summary

Join Mindful Therapy Group as their highly organized and proactive Events Manager! This fully remote role requires leading the planning and execution of provider-facing and internal corporate events. You will manage all event logistics, from venue sourcing to vendor coordination, while collaborating with various teams to align event strategy with company goals. The ideal candidate has 4+ years of experience in event planning and demonstrated success managing multiple concurrent events across different geographies. Requirements

  • 4+ years experience in event planning, logistics, or program coordination, ideally in a distributed or multi-site organization
  • Demonstrated success managing multiple concurrent events across different geographies
  • Expertise in budget management, vendor negotiation, and contract coordination
  • Excellent time management and attention to detail
  • Strong interpersonal communication and collaboration skills
  • Comfort operating independently in a remote environment and taking initiative
  • Ability to travel 10–20% for live events, typically in the western and southwestern U.S

Responsibilities

  • Plan and execute events that engage and educate our community of providers, including CE seminars, lunch & learns, recruiting mixers, grand openings, and networking events
  • Oversee end-to-end logistics: venue sourcing, scheduling, A/V, catering, signage, transportation, and vendor coordination
  • Collaborate closely with Marketing and Business Development to align event strategy with brand, recruiting, and growth goals
  • Coordinate internal events such as executive offsites, leadership retreats, holiday parties, and company celebrations
  • Work directly with the Executive team to align goals, structure agendas, and manage travel for multi-day events
  • Own end-to-end travel planning and calendar coordination for key stakeholders attending events
  • Book and manage travel arrangements (flights, hotels, ground transport) for team members, speakers, and leadership
  • Anticipate and resolve logistical challenges with minimal oversight
  • Build and manage detailed event budgets with a focus on ROI and cost control
  • Track actuals vs. budget, process vendor invoices, and prepare post-event recaps including cost and engagement metrics
  • Partner with the Marketing team to drive attendance, create event materials, and manage follow-up communications
  • Maintain accurate attendee lists, track RSVPs, and report on event engagement
  • Coordinate with Compliance and Clinical teams as needed for CE or licensure-relevant events

Preferred Qualifications

  • Experience in behavioral health, healthcare, or provider-facing roles
  • Familiarity with platforms like Eventbrite, Monday.com, HubSpot, or travel booking tools
  • Strong writing and/or creative skills to support event promotions and engagement
