Summary

Join Climate KIC as an Event & Project Coordinator to support the organization's presence at COP30 and other climate events. This short-term contract (until December 31, 2025) involves coordinating logistics, managing communications, and supporting various teams. Requirements

  • Previous project management experience, preferably in the fields of innovation, learning, government and/or sustainability
  • Experience with structured research and writing, and formal as well as informal communications, preferably in multi-stakeholder contexts
  • Experience working in complex multi-sided organisations and distributed teams, virtually as well as in person
  • Articulate and dynamic with highly developed interpersonal skills and the ability to communicate effectively, inspire and motivate people
  • Strong event management and foresight abilities to prepare for unforseen circumstances
  • Superb command of English – written and spoken; other European languages desirable
  • Effective listening and communication skills
  • Strong analytical ability as well as a combination of critical and creative thinking; level of attention to detail that is second to none
  • Familiarity with systems thinking and an understanding of working with complexity
  • Adept at self-organisation, project management and coordination; planning, organisation, coordination, multitasking, problem solving and prioritisation under pressure with minimal supervision

Responsibilities

  • Act as first/key point of contact for queries related to COP30, on behalf of Climate KIC and on behalf of the Systemic Climate Action Collaborative (the Collaborative, a joint initiative for which Climate KIC acts as Secretariat)
  • Coordinate and attend all meetings related to planning the presence and activities of Climate KIC and the Collaborative at COP30
  • Supporting with all logistical arrangements in the lead up to COP (working with 0.25 FTE from Boost Team): ensuring all Climate KIC delegates have made suitable travel bookings, accommodation bookings and keeping a central record of this information; maintaining information on Blue Zone accreditation/passes, creating and sharing guidance on the attendance of COP30; creating and sharing a briefing pack for all CKIC delegates attending COP30
  • Coordinate and maintain a detailed overview of Climate KIC and Collaborative activities at COP, working closely with key stakeholders in CEO Office, Cluster teams, Learning Services, Strategic Programmes, Communications, the Collaborative Events Taskforce, and other relevant teams, co-ordinating content for various activities/sessions as required
  • Update and maintain the ‘Climate-KIC at COP30’ and ’The Collaborative at COP30’ calendars
  • Supporting the CEO Office with relationship management with UNFCCC and other key partners/strategic relationships, as required
  • Supporting the CEO, EA to CEO and Chief of Staff to co-ordinate Climate KIC CEO’s presence at COP – including liaising with Future Funding and other relevant teams to understand where there will be opportunities for networking/fundraising
  • Supporting with coordination of learning events and meetings, including the Collaborative Sensemaking and Portfolio retreat in October 2025
  • Supporting with coordination and logistics for the Collaborative’s collective presence at major climate events in Q3-Q4 2025
  • Providing support to the learning infrastructure working group in terms of notetaking, meeting structures and capturing of insights
  • Supporting MEL infrastucture working group in terms of meeting preparation, agenda building and general coordination
