Requirements

  • Experience in event coordination: 1-3 years of experience in events, marketing, or related fields preferred
  • Willingness to Travel: 15% travel involved with this role (the majority of travel will happen in May-June)
  • Highly organized multitasker: You can juggle multiple responsibilities and keep all the details in check. You can not only start multiple projects at once, but you can push each project over the finish line
  • Curiosity: You want to learn more about marketing, specifically how demand generation, operations, and sales play a role together to drive high-quality leads for the business
  • Problem solver: You anticipate potential challenges and proactively address them to keep events running smoothly. You can operate without detailed direction
  • Strong communicator: You can clearly convey information to both internal teams and external vendors. You are great at explaining the why behind things and rally people together
  • Team player: You enjoy collaborating with cross-functional teams to ensure event success. You actively listen and try to understand each teamโ€™s perspective
  • Detail-oriented: You have an eye for the small details that make a big difference in event execution. You enjoy design and are picky about brand guidelines

Responsibilities

  • Organize travel and share accommodation info for Aiwyn team members attending events
  • Own the end-to-end logistics for the event, including booth selection, printing and shipping materials and swag, and printing marketing collateral
  • Help create registration pages using Hubspot, from content creation to testing and publishing, as well as Calendly creation for booth demos and meetings
  • Create and share โ€œKnow Before You Goโ€ (KBYG) documents for each event to outline roles and responsibilities for on-site team members. Conduct meetings to set expectations pre-show
  • When on-site, help with booth setup, materials, and keeping things (and people!) organized and aligned to assigned responsibilities
  • Gather attendee lists from event organizers and work with sales to prepare sellersโ€™ notes before collaborating with operations to report on event success
  • Work with product marketing and demand generation functions to support account executives and sales development representatives in pre-event outreach
