Onsite Event Coordinator

Summary

Join Fever, a leading tech platform for culture and live entertainment, as a freelance coordinator for our Candlelight concerts. This role involves managing concerts, primarily on weekends, across various locations. You will be responsible for pre-concert tasks such as staff recruitment and briefing, and on-site coordination, including managing personnel, deliveries, and the overall event flow. Post-concert duties include inventory management and reporting. The ideal candidate possesses strong event production experience, excellent communication skills, and the ability to manage stress effectively. This is a 12-month contract position with a salary based on experience.

Responsibilities

• Manage concert logistics and ensure smooth event execution
• Recruit and brief concert staff
• Consult the shared schedule to understand key organizational information
• Attend occasional meetings to review processes and organizational guidelines
• Coordinate all aspects of the concert, ensuring adherence to Candlelight operating procedures
• Deliver opening, intermission, and closing speeches
• Manage concert staff: assign roles, provide briefings, and monitor timing
• Manage deliveries from technical providers, ensuring timely arrival and notifying Fever of any issues
• Manage candle deliveries, ensuring timely arrival and proper organization of candle boxes
• Manage candle batteries, ensuring continuous recharging and replacement
• Ensure that the set design adheres to Fever's instructions and share a photo on the dedicated WhatsApp group once the installation is complete
• Manage artists: welcome and settle them in the dressing room, ensure suitable rehearsal conditions, brief them on stage procedures, order meals (within a 25€/evening/artist limit, delivery included), and review the program
• Submit a complete inventory of materials and any missing items via the dedicated Google Form after each concert series
• Report any issues encountered during the concert (music-related or audience-related) to Fever via the dedicated WhatsApp group
