Requirements
- Bachelorβs degree or equivalent professional experience
- 8+ years of experience in project and operational coordination supporting executive leadership
- Strong organizational skills with the ability to manage multiple priorities effectively
- Excellent written, verbal, and listening communication skills
- Ability to independently interpret and act on business requirements
- Experience facilitating cross-functional and virtual collaboration at all organizational levels
- High level of personal effectiveness, including confidentiality, resilience under pressure, and conflict management skills
- Comfortable working in a fast-paced, dynamic environment with multiple stakeholders
Responsibilities
- Manage the VPsβ calendars by prioritizing and scheduling meetings and appointments
- Coordinate speaking engagements, collaborating with communications teams to prepare content and ensure the VPs are well-prepared
- Organize meetings by preparing agendas, securing locations, arranging technology, and managing logistics
- Prepare travel briefing materials and coordinate comprehensive travel plans for large events
- Handle correspondence and approvals on behalf of the VPs; filter routine matters and resolve issues within established guidelines
- Arrange travel accommodations, optimizing itineraries while managing expenses
- Provide analytical and administrative support for special projects, including research, data compilation, and reporting
- Assist with executive support for corporate events, including itinerary preparation and attendance
- Maintain confidentiality with sensitive information and materials
