Requirements

  • Bachelor’s degree or equivalent professional experience
  • 8+ years of experience in project and operational coordination supporting executive leadership
  • Strong organizational skills with the ability to manage multiple priorities effectively
  • Excellent written, verbal, and listening communication skills
  • Ability to independently interpret and act on business requirements
  • Experience facilitating cross-functional and virtual collaboration at all organizational levels
  • High level of personal effectiveness, including confidentiality, resilience under pressure, and conflict management skills
  • Comfortable working in a fast-paced, dynamic environment with multiple stakeholders

Responsibilities

  • Manage the VPs’ calendars by prioritizing and scheduling meetings and appointments
  • Coordinate speaking engagements, collaborating with communications teams to prepare content and ensure the VPs are well-prepared
  • Organize meetings by preparing agendas, securing locations, arranging technology, and managing logistics
  • Prepare travel briefing materials and coordinate comprehensive travel plans for large events
  • Handle correspondence and approvals on behalf of the VPs; filter routine matters and resolve issues within established guidelines
  • Arrange travel accommodations, optimizing itineraries while managing expenses
  • Provide analytical and administrative support for special projects, including research, data compilation, and reporting
  • Assist with executive support for corporate events, including itinerary preparation and attendance
  • Maintain confidentiality with sensitive information and materials
