Summary
Join StackAdapt, a self-serve advertising platform, as an Executive Assistant providing high-level administrative support to executives. You will manage schedules, facilitate communication, organize travel, handle reimbursements, prepare documents, coordinate meetings, anticipate executive needs, maintain files, and support project teams. This role requires discretion, excellent organizational skills, and the ability to handle sensitive information. StackAdapt is a Remote First company, open to candidates located anywhere in Canada. Requirements
- Proven experience as an Executive Assistant, or similar role, ideally with time spent at a high-growth SaaS or tech company
- Outstanding organizational and time-management abilities
- Proficiency in office productivity tools, with a preference for Google Workspace (Gmail, Google Meet, Drive); experience with Slack and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is also beneficial
- Excellent communication skills, both written and verbal
- Discretion and trustworthiness when handling confidential information
- Ability to prioritize tasks and work efficiently under pressure
- Detail-oriented with a high level of accuracy in work
Responsibilities
- Proactively manage SVP and VP's daily schedule, including planning and prioritizing meetings and appointments
- Facilitate communication between the leaders and external clients, internal team members, and other stakeholders
- Organize travel arrangements and itineraries for business trips
- Handle personal reimbursements and other confidential administrative tasks
- Prepare documents, reports, and presentations for executive meetings and events
- Assist with coordinating off-site meetings and events including food ordering, meeting needs, agenda support, and note taking
- Anticipate the needs of the executive and proactively address issues before they arise
- Organize and maintain executive files, records, and documentation
- Support project teams by tracking deadlines, organizing resources and helping to keep projects on schedule
Preferred Qualifications
Familiarity with project management tools and software is a plus
