Summary
Join 20four7VA as a proactive and detail-oriented Executive Assistant, supporting a high-performing entrepreneur in a remote setting. You will manage various systems, tools, and communications, driving daily operations. The ideal candidate is organized, resourceful, and works independently with sound judgment. Requirements
- Minimum of 1 year of experience as an Executive Assistant, Operations Assistant, or a similar support role
- Strong background in calendar and inbox management, with deep experience using Microsoft Outlook
- Proficient in: Microsoft Teams and Microsoft Office tools
- HubSpot (CRM)
- DocuSign (document workflows)
- RingCentral (communications setup/support)
- Proven ability to self-manage tasks and priorities without needing daily task board assignments
- Excellent verbal and written communication skills, with a C1/C2 level of English fluency
- Able to present research-backed recommendations and offer multiple options when results are uncertain
- Experienced in coordinating across multiple tools, vendors, and systems simultaneously
- Highly organized, proactive, and adaptable with strong attention to detail and a bias toward solutions
- Comfortable handling confidential data, passwords, contracts, and sensitive operational details
Responsibilities
- Provide full administrative and operational support with minimal supervision, including regular progress updates
- Manage systems such as HubSpot (CRM), DocuSign, RingCentral, and Microsoft Admin Center
- Handle calendar management, inbox triage, and scheduling via Microsoft Outlook
- Lead daily communication through Microsoft Teams, including verbal check-ins
- Support the setup and maintenance of RingCentral and security camera systems (e.g., Angelcam, Reolink, cloud video tools)
- Conduct research on tools/vendors and present clear, structured recommendations with trade-offs
- Independently manage recurring administrative tasks and special projects
- Research and book travel based on client preferences
- Organize and maintain contracts, subscriptions, and operational assets in a secure digital environment
- Identify and implement process improvements to enhance workflow efficiency
