This remote role (Denver area preferred) optimizes the CEO's productivity and supports the broader executive team. You will be responsible for a wide range of tasks, from managing calendars and communications to overseeing budgeting and crisis management. The ideal candidate possesses exceptional organizational skills, strong communication abilities, and a proactive mindset.

Requirements

  • Minimum of 5 years of experience as an Executive Assistant or in a similar high-level administrative role
  • Experience supporting senior executives in a corporate environment
  • Exceptional organizational and time-management skills
  • Strong ability to manage complex schedules and prioritize tasks
  • Excellent written and verbal communication skills
  • High level of professionalism and discretion in handling sensitive information
  • Proactive mindset with the ability to anticipate the needs of the CEO
  • Excellent interpersonal skills and ability to build strong relationships with stakeholders
  • Strong problem-solving skills with the ability to make independent decisions
  • Detail-oriented with the ability to manage multiple tasks simultaneously
  • Advanced proficiency in office management tools and technology

Responsibilities

  • Manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements
  • Screen and prioritize emails, phone calls, and correspondence, ensuring timely responses
  • Prepare and edit documents, reports, and presentations for the CEO and executive team
  • Track action items from executive meetings, conduct research, and assist in drafting internal communications
  • Facilitate communication between executives and department heads to ensure seamless collaboration
  • Prepare materials, coordinate logistics, and maintain records for board and investor meetings
  • Maintain a centralized repository for executive documents, reports, and presentations to ensure accessibility and consistency
  • Assist with special projects and strategic initiatives as directed by the CEO
  • Plan and coordinate executive retreats, off-site meetings, and team-building activities
  • Oversee budgeting and cost analysis for the executive team’s initiatives and expenses
  • Support crisis management efforts by coordinating executive responses, managing communications, and ensuring operational continuity
  • Manage company-sponsored events and experiences, including ticket procurement and distribution, ensuring smooth logistics and communication
  • Support the planning and design of office spaces by coordinating with the Operations team, contractors, and stakeholders to ensure alignment with company needs, branding, and culture
  • Identify inefficiencies in executive workflows, implement solutions, and manage productivity tools to optimize operations
  • Perform other related duties as assigned

Preferred Qualifications

Bachelor’s degree in Business Administration, Communications, or a related field
