Requirements

  • 5+ years in an executive administrative role, supporting and communicating with executives in a medium to large fast paced, global software company (Presidents/Vice Presidents)
  • Able to efficiently prioritise with business and executive needs and used to maintaining confidentiality of highly sensitive information
  • Outstanding attention to detail, able to track high volumes of data with MS Office; including Microsoft Teams and Co-Pilot, with Internet proficiency and knowledge of web-based applications
  • Highly tuned planning skills across coordinating and hosting meetings and team events, both virtual and in-person
  • Adaptable and quick to react to evolving business demands and projects. Comfortable multitasking and prioritising and possess problem-solving skills to address issues as they arise, even with minimal direction

Responsibilities

  • Coordinate and run sophisticated calendars using Microsoft tools, scheduling appointments, meetings, and travel
  • Effectively collaborate with other Executive Assistants and leaders to handle a high volume of inbound meeting requests and calendar arrangements
  • Proactively resolve scheduling conflicts and ensure all collaborators are advised of any changes, ensuring alignment with immediate priorities and business objectives
  • Arrange domestic and international travel, including flights, accommodations, and ground transportation
  • Prepare detailed travel itineraries and troubleshoot any travel issues
  • Ensure smooth executive meetings by preparing materials and agendas, taking meeting minutes, supervising action items, and following up for completion
  • Collaborate with the Communications team to plan team functions and social connection events
  • Provide meeting coordination support (in-person and virtual) including organising agendas and note taking
  • Process and track expense reports
  • Manage team distribution lists
  • Communicate with internal and external partners – e.g., Finance, Legal, People Operations, Marketing, and the Senior Leadership Team
