Summary
Join Battleground Alliance as an Executive Assistant and provide high-level administrative support to leadership. You will manage relationships, scheduling, and organizational systems to ensure effective executive function. Key responsibilities include scheduling meetings, taking detailed notes, managing contact databases, supporting travel arrangements, providing administrative support for new systems, maintaining confidential documents, serving as a liaison, and providing general administrative support. The ideal candidate will possess a Bachelor's degree or equivalent experience, 3-4 years of relevant experience, and strong organizational, communication, and problem-solving skills. Proficiency in Microsoft Office Suite and CRM systems is required. The position offers a competitive salary of $70,000-$80,000 and benefits, with a remote work option and a preference for candidates located in DC.
Requirements
- Bachelor's degree in any field, or equivalent combination of education and experience
- Minimum 3-4 years of operations, executive support, administrative, or related professional experience
- Demonstrated experience in office administration and executive support activities
- Basic understanding of 501(c)3 and 501(c)4 and PAC compliance
- Excellent written and verbal communication skills
- Strong organizational abilities with exceptional attention to detail
- Time management skills with ability to prioritize multiple executive requests
- Problem-solving skills and ability to work independently with minimal supervision
- Reliability and punctuality in meeting deadlines and commitments
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Email and calendar management systems
- CRM systems and management experience (i.e. Salesforce, Raiserβs Edge, HubSpot)
- Collaborative approach to working with diverse teams and external partners
- Adaptability to changing executive priorities and work environments
- Strict confidentiality in handling sensitive executive and organizational information
- Professional judgment and discretion in decision-making
- Relationship management skills for maintaining partner and stakeholder connections
Responsibilities
- Schedule and coordinate meetings for leadership team and coalition partners
- Take detailed meeting notes, track action items, and distribute follow-up communications
- Manage and update contact databases for national partners, local coordinators, and target district contacts
- Support travel arrangements and expense tracking for staff
- Provide administrative support for new systems implementation
- Maintain confidential strategic documents and partner agreements
- Serve as liaison between leadership and internal/external stakeholders
- Provide general administrative support for day-to-day executive operations
