Summary

Requirements

  • 2.5 years of Executive Administration experience (supporting executives) in a fast-paced dynamic environment
  • Be hyper-detail oriented and naturally predict/anticipate needs before they arise
  • Have the ability to think on your feet and be comfortable working in a fast-paced environment, at times, bringing clarity to ambiguous situations
  • Be comfortable working through emails, slacks and travel bookings but also love and appreciate opportunities to get out from behind your desk to tackle other tasks

Responsibilities

  • Serve as a central point of contact for multiple executives managing their calendars and travel
  • Schedule and organize meetings including but not limited to: Coordinating with external administrative support at other locations
  • Schedule and organize meetings including but not limited to: Booking appropriate conference room space
  • Schedule and organize meetings including but not limited to: Arranging for any presentation materials (projectors, wifi, sales collateral)
  • Schedule and organize meetings including but not limited to: Managing logistics and meals as required
  • Travel in support of in-person meetings and events (occasionally)
  • Manage expense reports and corporate credit card reconciliation for the executives you support as well as your administrative account
  • Make travel arrangements and prepare all necessary documentation, including calendar reminders
  • Assist with the preparation of presentation materials including slides, handouts, and demos
  • Help drive our mission and vision through owning and proactively managing the schedules and travel logistics for several of our senior executives
  • Assist with additional office/companywide projects such as swag, corporate charitable, and team bonding events
  • Share pertinent information to team members and collaborate to ensure we are seamlessly working together across all projects and assignments
  • Work within the team and help build and create bridges across the company while displaying a positive and professional manner with excellent verbal and written communication skills
  • Ensure attention to detail and organization while setting and managing priorities and meeting deadlines
