Summary

Join SOULCHI, a values-driven startup, as its Executive Assistant to the CEO. This remote, flexible full-time (30-40 hours) position offers a unique opportunity to support the CEO during a pivotal growth phase. You will play a key role in managing the CEO's calendar, communications, and projects, contributing significantly to the company's success. The role involves handling sensitive information, coordinating meetings and events, and providing technical support. Compensation includes a fair market value and an equity-based compensation model. Requirements

  • Proven experience executive s as an Executive Assistant, Personal Assistant, or in a similar high-level administrative role, particularly supporting C-suite executives
  • Comfortable with technology, including Microsoft Office, Asana, calendar management tools, and communication tools such as Teams
  • Strong background in managing calendars, scheduling, and organizing meetings and events
  • Excellent verbal and written communication skills, with attention to detail
  • Ability to multi-task, prioritize, and operate in a fast-paced, high-demand environment
  • Ability to handle sensitive and confidential information with professionalism

Responsibilities

  • Optimize CEOโ€™s time by managing calendar, coordinating meetings, and ensuring focus and travel time are protected. Proactively adjust schedules based on priorities
  • Handle all incoming and outgoing communications, prepare key documents, and ensure timely responses or delegation of tasks. Maintain the CEOโ€™s Out of Office (OOO) messages and updates
  • Organize meetings, set agendas, track action items, and maintain up-to-date meeting documents and resources
  • Support project planning and execution, ensuring tasks are aligned with CEO priorities and deadlines are met. Collaborate with teams for seamless progress
  • Assist with organizing corporate events and meetings, ensuring logistics and communications are efficiently managed
  • Handle sensitive information with utmost confidentiality, ensuring compliance with company policies and security tools
  • Act as a key point of contact for internal and external communication, ensuring smooth exchanges and effective message delivery
  • Organize, maintain, and ensure quick access to important documents and files
  • Conduct research and gather information to support decision-making and project execution
  • Identify workflow improvements, resolve challenges, and act as a gatekeeper to align the CEOโ€™s schedule with company goals
  • Provide basic technical support and assist in new hire onboarding and email management when needed

Preferred Qualifications

Highly preferred experience with LinkedIn platform management, Lemslist, Apollo io, AI, CRM
