Summary

Join Athennian as an Executive Operations Associate and provide high-level support to the leadership team while driving coordination across key commercial initiatives. This role blends executive assistant responsibilities (calendar management, travel, meeting logistics) with project coordination and cross-functional collaboration. You will be the driving force behind seamless executive scheduling, travel, and board coordination, while also contributing to go-to-market programs, event execution, and stakeholder engagement. Work closely with senior leaders across various departments, gaining valuable insights into strategic decision-making and leadership operations. This is a launchpad for growth into a more strategic operator role, offering the opportunity to make a significant impact. The position requires 2-4 years of experience in project management, executive operations, or event logistics, ideally in a B2B SaaS or professional services environment. The role is remote-first, with the option to work remotely in Canada and the US.

Requirements

  • 2–4 years in project management, executive operations, or event logistics, ideally in a B2B SaaS or professional services (finance, legal, etc.) environment
  • Demonstrated ability to support senior leaders with discretion, professionalism, and urgency
  • Strong organizational skills and the ability to manage shifting priorities in a fast-paced environment
  • Understanding of how commercial teams (sales, marketing, partnerships, customer experience) operate and interact
  • Excellent communication and follow-through, with a proactive mindset and strong attention to detail

Responsibilities

  • Manage complex calendars for senior leaders, ensuring alignment with company priorities and minimizing scheduling conflicts
  • Coordinate travel, agendas, and logistics for executive roadshows, internal summits, and customer events
  • Serve as the point of contact for high-touch executive engagements, including customer dinners, investor meetings, and partner visits
  • Own logistics for quarterly Board meetings: prepare and distribute agendas and materials, track executive prep, and coordinate related events
  • Support internal meeting planning for strategic sessions such as leadership offsites, quarterly planning, and functional reviews
  • Track deliverables and milestones for key GTM initiatives such as product launches, field events, and campaign rollouts
  • Maintain shared documentation including project trackers, decision logs, calendar cadences, and team briefings to ensure continuity and accountability
  • Act as a connector across Marketing, Sales, Customer Experience, and Partnerships to ensure executive involvement is timely and impactful
  • Collaborate with Marketing to coordinate executive participation in customer activations, conferences, and internal events
  • Track pre- and post-event needs such as briefings, materials, follow-ups, and engagement outcomes
