HR Compliance Specialist

Summary
Join Lush North America's People and Culture team as a Compliance Specialist for a 14-month contract! You will be instrumental in developing, implementing, and communicating company policies that ensure compliance with employment regulations. This role focuses on US operations, particularly retail, requiring you to identify compliance gaps, interpret employment laws, create policies, and conduct training. You will also manage vendor relationships and address compliance concerns. The ideal candidate possesses extensive HR compliance and employee relations experience, particularly in both US and Canadian contexts, with a strong focus on California. This position offers the chance to build scalable compliance programs while upholding Lush's values. The role reports to the People Experience Manager.
Requirements
- 5+ years experience in HR compliance
- 5+ years experience in employee relations
- Experience in both Canada and the US (with focused work in California)
- Excellent listening and communication skills
- Excellent analytical, critical thinking and troubleshooting skills
- Excellent organization and time management skills
- Proficient in MS Excel, Google suite, and adaptable to other systems as required
- Ability to travel up to 25% both in market and within North America for meetings as needed
Responsibilities
- Development and Maintenance of Compliance Programs
- Conduct regular audits to ensure Lush remains compliant with all employment regulations including those related to ESA, Provincial labour board regulations, EEO, ADA, ERISA, and the Department of Labor
- Partner with People Experience to monitor, recommend and promptly resolve compliance concerns
- Manage vendor relationship to ensure all applicable labour law posters are updated
- Monitor meal and break adherence, scheduling requirements, and all compliance required workplace training within retail shops and partnering with retailer team to address any applicable concerns
- Manage relationship with U.S. Worker Compensation vendor for all reporting and management needs of work comp claims
- Proactively address changes in employment laws, legislation and EEOC regulations that might affect the organizationโs policies, practices, and procedures
- Collaborate with People Experience, Learning and Development and management on compliance related training and guidance required by Provincial/State labour requirements. This includes reviewing appropriate training materials and modules to meet organization and compliance needs
- Responsible for managing internal and external audit requests and timely delivery of such requests
- Employment Guidelines and Policies
- Create clear, concise, and compliant employment guidelines and policies that support and align with Lush culture
- Conduct annual reviews to existing guidelines, policies and procedures that impact the employee experience and make any recommended changes to Lush Leadership
- Monitor, assess and proactively address any new federal, provincial, state and local legislation that may impact existing guidelines, policies and employment related practices: develop and recommend actions to meet compliance needs
- Partner with Lush stakeholders in the development of guideline/policy content, with focus on upholding Lush Cultural values while at the same time meeting or exceeding any necessary State/Federal/Provincial compliance requirements
- Review all policy/guideline edit requests from process related owners, and partner with Legal to assess any needed compliance factors and potential impact to other areas of business
- Support and partner with Legal and People Experience when there are Employee Relations escalations
- May be asked to lead or assist with any urgent issues or audit requests associated with government mandates, legal proceedings, or highly sensitive employment issues
Preferred Qualifications
- HR generalist and/or business partner experience a plus
- Experience in Ontario and Quebec a plus
- HR degree, certification or designation (SHRM or SPHR)
- Experience in cross cultural collaboration and DEIB or social justice training
- Fluency in Spanish, French or other languages

Benefits
Base Salary Range $85,000 โ $95,000 USD
