Requirements

  • C1/C2 English and Spanish writing and speaking skills
  • At least 1 year of project management experience preferably remote
  • Experience or familiarity with HR and talent management processes
  • Strong administrative skills, including task management, record-keeping, and document organization, preferably in a fast-paced environment
  • Graduated (or soon to graduate) with a college degree
  • Able to work a Monday-Friday 8 am - 5 pm schedule in EST time zone
  • Proficient with Microsoft programs and Google Suite
  • Strong organizational skills and attention to detail
  • Ability to work independently and manage multiple priorities effectively
  • Exceptional communication and interpersonal skills
  • Exceptional telephone manner & service-orientated email writing skills
  • Ability to quickly learn how to use new tools and software
  • A quiet home office with a desk and office chair
  • Stable internet with at least 10 MBPS download & 2 MBPS upload speed
  • A laptop/desktop with 8GB RAM, a 1.6GHz processor, and 50GB of free hard-drive space, a headset, and a smartphone
  • Access to a quiet 'home office
  • Access to a backup place of work in case they suffer a power cut or internet failure, as well as a secondary backup internet option (mobile hotspot, Multibam, WiPod, etc.)

Responsibilities

  • Monitor time tracking software to analyze Virtual Assistants' working hours and productivity, identifying fluctuations and variations
  • Conduct regular check-in sessions with Virtual Assistants to provide guidance, support, and coaching to ensure project needs are met effectively
  • Keep track of variations in Virtual Assistants' daily tasks and duties, ensuring alignment with project requirements
  • Ensure smooth and adequate flow of information within the company's departments, facilitating communication with finance, HR, and Account Management teams to support all business operations
  • Update records and assist the finance department in collecting project information for accurate billing and payroll processing
  • Serve as the main point of contact for Virtual Assistants, addressing inquiries, concerns, and providing necessary support
  • Assist with HR duties including project onboarding, benefits administration, and other related tasks as required
  • Develop and implement a detailed management plan to monitor and track project progress effectively
