Summary
Join a team as a Junior Operations Assistant in a fully remote position! This entry-level role offers comprehensive training and focuses on managing daily tasks, organizing information, and ensuring smooth operations. You will assist with email and lead management, categorizing accounts, and providing general administrative support. No prior experience is required; the client provides full training and guidance. Requirements
- Experience: 0-1 years in an administrative, operational, or support role (entry-level candidates are welcome to apply)
- Strong organizational skills and attention to detail
- Proficiency in basic office tools (Google Workspace, Microsoft Office)
- Ability to learn quickly and follow instructions accurately
- Strong written and verbal communication skills
Responsibilities
- Review incoming emails for potential leads or important updates
- Create and maintain a daily spreadsheet of emails with relevant information (e.g., date, contact name, brief summary, and attachments)
- Flag emails related to active leads and notify the team for next steps
- Organize and categorize client accounts by industry (e.g., restaurants, roofers) for easy access and follow-up
- Create and organize TextExpander snippets for quick responses
- Help with managing ClipClip screenshots and incorporating images into templates
- Assist in updating fields for potential leads based on instructions
- Add follow-up notes such as reminders to send emails to primary and secondary contacts
- Follow the provided instructions to manage and track USPS leads
- Watch or read tutorials about Otter.ai, summarizing key points and suggesting relevant content
- Research tasks related to Otter.ai and other operational tools to support the clientβs team efforts
- Assist with checking emails for important updates (e.g., quotes, reports) and report findings to the team
- Update records for any missing categories or information
- Organize files and folders, ensuring all documents are categorized and saved correctly in shared folders
- Assist with reviewing email templates and marketing sheets to provide feedback or improvements
Preferred Qualifications
- Basic knowledge of tools like Otter.ai, ClipClip, or similar platforms is a plus, but not required
- Eagerness to learn and take on new tasks as part of a growing team
