Summary

Join Buckner International's People Operations team as the Manager of People Operations Administration! This full-time, remote position in Dallas, TX, will support the SVP and VP of People Operations in their daily tasks. You will manage their calendars, coordinate meetings and travel, handle communications, and serve as a liaison with other team members. The role also involves administrative and event planning for various team events and retreats, managing the People Operations SharePoint page, overseeing vendor negotiations, and processing invoices and expense reports. You will provide technical support and training to staff, manage procurement, and plan domestic and international travel for senior leaders. This position requires a high school diploma or GED, a minimum of 7 years of relevant experience, and excellent communication and presentation skills.

Requirements

  • High School Diploma (or G.E.D.)
  • Minimum 7 years prior related experience, including working directly with senior leaders required
  • Consistently demonstrate excellence in customer service while representing the Presidentโ€™s office to both internal and external constituents
  • Excellent communication and presentation skills
  • Proven track record of simultaneously and effectively managing multiple complex projects
  • Recognition that the organization is a faith-based organization operating with a commitment to Christian principles
  • Ability to use up to 50 pounds of force occasionally, and /or up to 20 pounds of force frequently, and /or up to 10 pounds of force continuously to move objects
  • Ability to walk frequently; occasionally stand for prolonged periods of time; occasionally required to squat, climb stairs, kneel and twist
  • Required to sit for prolonged periods of time, including extensive airline travel

Responsibilities

  • Maintain the calendar for the SVP, Chief People & Internal Communications Officer and the VP, People Operations
  • Coordinate meetings for the SVP, Chief People & Internal Communications Officer and the VP, People Operations including but not limited to arranging meeting space, meals, transportation, sending invitations, preparing agendas, uploading documents, coordinating travel and lodging
  • Develop and maintain the departmental calendar for the People Operations and Internal Communications teams
  • Effectively handle all types of communication including correspondence with internal and external constituents
  • Meet with the SVP, Chief People & Internal Communications Officer and the VP, People Operations regularly to discuss and follow up on communication and activities
  • Keep the SVP, Chief People & Internal Communications Officer and the VP, People Operations informed of communication and activities handled in their absence
  • Serve as the liaison between the SVP, Chief People & Internal Communications Officer and the VP, People Operations and other Buckner team members and associates
  • Exercise excellent discernment skills to identify, analyze, and determine effective management of all issues, concerns, and day-to-day communication in the office independently, one-on-one with the SVP, Chief People & Internal Communications Officer and the VP, People Operations, and as a Make independent decisions in accordance with guidelines
  • Initiate professional assertiveness when necessary to handle matters
  • Prepare presentations to support the SVP, Chief People & Internal Communications Officer and the VP, People Operations as
  • Manage administrative and event planning functions of People Operations team events and retreats
  • Manage administrative and event planning functions for the Support Centerโ€™s 5Stars Fun Team
  • In partnership with the SVP, Chief People & International Communications Officer, manage the administrative and event planning functions for the Leadership Retreat
  • In partnership with the SVP, Chief People & International Communications Officer, lead the People Operations and Internal Communications event management functions for the annual Gathering awards
  • Manage, update, and optimize the People Operations SharePoint page
  • Oversee the negotiation and work with hotels and other vendors to facilitate arrangements for events as assigned
  • Secure contracts with vendors for services and lodging
  • Oversee the performance of vendors in accordance with the contracted terms for service
  • Resolve issues immediately
  • Manage accounting matters related to contracted vendors
  • Accurately and timely prepare, audit, and process People Operations invoices for payment
  • Accurately complete expense reports for the SVP, Chief People & Internal Communications Officer and the VP, People Operations and other designated staff as required
  • Manage, review, prepare, and monitor expense reports on a timely Provide technical support and training for People Operations staff to ensure accurate expense reporting
  • Effectively manage department procurement tasks, including equipment, office supplies, floral arrangements, books, subscriptions, publications, renewals, and printing jobs
  • Research and purchase equipment, materials, and supplies while maintaining a Prepare invoices for payment
  • Use discretion and sound fiscal judgment while managing People Operations resources
  • Plan, schedule, and organize all aspects of domestic and international travel for the SVP, Chief People & Internal Communications and VP, People Operations
  • Review and accurately process mail, faxes, emails, and other correspondence in a timely
