Requirements
- Bachelorβs Degree
- Excellent organizational skills
- Strong interest in event planning
- Proficiency with MS Word, Excel and Power Point
- Strong analytical and critical thinking skills
- Excellent ability to multi-task, prepared to work on at least 5 events at varying stages
- Engaging, professional and diplomatic demeanor
- Customer service focus
- Superior oral and written communication skills
- Time and priority management skills necessary to complete work within established time frames
- Deadline and results oriented
- Self-motivated and able to work both independently and as part of a team
- Enthusiastic with a strong desire to succeed
- Strong attention to detail
Responsibilities
- Establish and maintain relationships with key professionals, industry leaders, senior executives and media within relevant vertical markets
- Assist customers in a professional, service-oriented manner during execution of daily work and onsite at conferences
- Work with and support a cross-functional team on an ongoing basis to ensure successful operations of conferences
- Manage the coordination of internal Travel, Transportation and Shipping arrangements
- Manage the coordination of VIP Speaker Travel
- Liaise with speakers and sponsors to collect accurate and relevant information related to the website, conference brochures and mobile app (logos, firm descriptions, biographies, headshots, presentations and advertisements where applicable)
- Coordinate conference mailings including notifications for hotel bookings, activity registrations, mobile app, printing materials deadlines, etc
- Create and edit conference mobile app, including sponsor ads, speaker biographies and speaker presentations
- Manage registrations through databases
- Onsite preparation (travel, distribute badges, point of contact for clients)
- Facilitate the organization and coordination of panel's discussions (for speakers) prior to the event
- Manage client questions, inquiries and any customer service related issues or concerns
