Summary
Join AlphaSense's Global People Team as a People Operations Compliance Specialist and help build a strong foundation for global HR compliance. You will ensure the company meets employment law requirements across multiple countries, supporting areas such as work authorization and I-9 compliance, unemployment claims, employee handbook development, and document management. This role involves leading regular audits of HRIS data, partnering on global compliance training and filings, and managing key compliance vendors. The ideal candidate is highly organized, detail-oriented, and eager to implement scalable systems and best practices. This is a remote position based in the U.S., reporting to the Manager, People Compliance & Operations. AlphaSense offers a generous benefits program, but this fixed-term role is not eligible for equity or a 10% bonus.
Requirements
- 5-7 years of experience in HR compliance or a similar role
- Strong knowledge of employment laws and regulations (e.g., I-9, visa requirements, etc.)
- 1+ years of experience with HRIS systems, specifically Workday
- Excellent organizational, time-management, and problem-solving skills
- Strong attention to detail and accuracy
- Ability to maintain confidentiality and handle sensitive information
- Excellent communication and interpersonal skills
Responsibilities
- Establish and maintain internal controls to ensure compliance across key areas including wage and hour laws (e.g., FLSA classification), employment eligibility, and global labor requirements
- Ensure compliance with I-9 regulations including managing records, conducting audits, migrating/updating records in HRIS, and exploring HRIS automation solutions
- Oversee unemployment claims, including researching procedures, organizing data, and auditing offboarding notices
- Audit and implement internal controls that meet public company standards, including Sarbanes-Oxley (SOX) compliance, and support audits such as SOC 2 and ISO 27001 by contributing HR-specific documentation, data integrity checks, and process improvements
- Conduct audit gap analysis, building new audit processes where needed
- In accordance with established Standard Operating Procedures (SOPs) and as needed on an ad hoc basis, conduct audits of HRIS data ensuring remediation is completed with appropriate partners as needed
- Lead employee document management strategy including proposing file structures, auditing access levels, establishing retention SOPs, and migrating files to our HRIS, Workday
- Develop and maintain employee handbooks for various locations (US, UK, Ireland, Canada, Singapore, Finland, and India)
- Manage compliance vendors and related services, including researching vendors, reviewing existing resources (Mineral) for filings/reports, and partnering to develop compliance SOPs
- Stay current on training mandates across jurisdictions and coordinate the rollout of required training and supporting process documentation
Preferred Qualifications
Familiarity with Excel/Google Sheets (experience with filters, vLookup, formulas, etc. is a plus!)
