Requirements
- Exceptional organizational and time-management skills, with the ability to prioritize tasks effectively and manage multiple deadlines in a dynamic environment
- Strong sense of flexibility and adaptability to changing priorities and last-minute requests
- Must possess a valid driver's license, a clean driving record, and a genuine enjoyment of driving. Access to a reliable vehicle for work-related travel is provided
- Excellent verbal and written communication skills
- Proficiency in Google Workspace or Microsoft Office Suite
- Proactive, resourceful, and able to work independently with minimal supervision
- Proficiency in German and English
- Strong problem-solving skills and a "can-do" attitude
Responsibilities
- Proactively manage and coordinate the CEOβs schedule, including meetings, appointments, and travel arrangements
- Arrange travel itineraries (e.g. flights, accommodation) both locally and potentially further afield. This will include driving the CEO to various meetings and appointments as required
- Serve as the primary point of contact for internal and external stakeholders. Screen and prioritize calls, emails, and correspondence, responding promptly and professionally
- Organize and coordinate meetings, including preparing agendas, presentations, and other materials, taking minutes and arranging catering
- Prepare, edit, and proofread correspondence, reports, presentations, and other documents with a high level of accuracy and attention to detail. Maintain organized and efficient filing systems (both physical and digital)
- Process and manage expense reports in a timely and accurate manner
- Assist with special projects and initiatives as directed by the CEO, demonstrating adaptability and a willingness to take on new challenges
Preferred Qualifications
Proven experience as an Executive Assistant, Personal Assistant, or similar administrative role supporting senior-level executives
