Summary
Join World Business Lenders (WBL) as a remote Executive Assistant to the CEO! This contract/consultancy position requires managing the CEO's complex calendar, travel arrangements, and multiple household operations. You will handle financial matters, prepare documents, and coordinate meetings across time zones. Exceptional communication, attention to detail, and discretion are essential. The role demands strong organizational skills, proficiency in Microsoft Suite, and the ability to handle confidential information. Evening/weekend on-call availability is required. This is a full-time position with PTO available after 6 months.
Requirements
- 5+ years of experience as an Executive Assistant, preferably supporting C-level executives
- Bachelorโs degree in Business Administration, Accounting (or related field of study), or equivalent experience
- Exceptional English communication skills, both written and verbal, are imperative
- Proven experience managing complex calendars and logistics across time zones
- Highly organized, detail-oriented, and able to multitask efficiently
- Demonstrated ability to handle confidential information with discretion
- Strong proficiency in Microsoft Suite (Word, Excel, PowerPoint), Zoom, and Teams
- Comfortable working independently in a fully remote, fast-paced environment
- Must be sharp, polished, professional and resourceful
- Impeccable diligence and attention to detail is required
- Must be flexible, nimble and adaptable to frequent changes to schedules/priorities
- Financial analysis skills, including maintaining financial matters, budgets and expenses, required
- Strong organizational, time-management and problem-solving skills, including planning, project management, troubleshooting and task facilitation
- Must be proactive with a strong work ethic and high energy level
- Ability to multitask and complete all projects within designated timeframes
- Evening/weekend "on call" availability required
Responsibilities
- Manage and maintain the CEOโs calendar, including scheduling internal and external meetings across multiple time zones
- Screen and prioritize emails, messages, and requests for the CEO
- Coordinate travel arrangements, itineraries, and logistics for domestic and international trips
- Prepare documents, presentations, and briefing materials ahead of meetings
- Take notes during key meetings and ensure timely follow-ups on action items
- Anticipate the needs of the CEO and proactively resolve scheduling conflicts or gaps
- Support in organizing off-site meetings, company-wide events, and executive leadership sessions
- Assist with personal tasks as needed, maintaining a high level of trust and discretion
- Oversee 3 households, handling all maintenance and operational matters
- Execute complex and detailed travel arrangements (including scheduling and managing of car services and, on occasion, flight and hotel accommodations), including preparing itineraries and compiling necessary documents
- Handle expense reporting, invoice processing and other financial matters
- Other projects and duties as assigned
