Summary

Join Collective's Program Management Office (PMO) as a Program Manager, supporting operational execution across product and non-product initiatives. You will drive internal alignment, documentation, training, and project coordination to ensure team preparedness and execution. This role is crucial for keeping programs on track, teams informed, and internal systems organized. You will collaborate closely with the PMO Senior Manager and cross-functional partners in Product, Member Services, and other teams. Responsibilities include program and project coordination, product readiness and launch support, knowledge management and documentation operations, and enablement and training coordination. The ideal candidate possesses 6-8 years of experience in program coordination, project support, or related fields and is proficient in various tools like Confluence, Google Workspace, and Asana.

Requirements

  • 6-8 years of experience in program coordination, project support, internal ops, enablement or documentation
  • Comfortable supporting multiple workstreams and balancing shifting priorities
  • Detail-oriented, structured and energized by execution
  • Effective communicator who can keep stakeholders aligned, informed and engaged
  • Experienced with Confluence, Google Workspace and Asana or similar tools (Jira, Notion, etc.)
  • Advanced proficiency in project and portfolio management tools (e.g., Jira, Asana, Notion)
  • Strong data analysis and visualization skills, with experience using BI tools (e.g., Metabase, Tableau)

Responsibilities

  • Program & Project Coordination
  • Support planning, tracking and execution for initiatives across teams—ranging from product launches to internal tooling rollouts, policy/process changes or operational pilots
  • Manage project documentation, timelines, status updates, meeting cadences and retrospectives
  • Coordinate intake and prioritization of PMO-managed projects, capturing clear owners, scope and outcomes
  • Track action items, risks and cross-functional dependencies to ensure follow-through
  • Product Readiness & Launch Support
  • Coordinate internal readiness efforts for new products, features and service changes
  • Draft and maintain SOPs, playbooks, FAQs and other internal documentation for launch rollouts
  • Support feedback collection and tracking of post-launch enhancements
  • Maintain visibility into launch milestones and partner teams’ responsibilities
  • Knowledge Management & Documentation Ops
  • Manage Confluence content hygiene across teams—auditing, archiving and improving structure
  • Create and maintain templates, page formatting standards and versioning logic
  • Track documentation usage, feedback and accuracy to drive content improvements
  • Help reinforce content ownership and update accountability with functional teams
  • Enablement & Training Coordination
  • Support creation and rollout of onboarding content, training materials and operational learning paths
  • Partner with functional leads to document processes and translate them into structured training formats
  • Help configure and maintain tools for internal training needs
  • Produce lightweight guides, videos and walkthroughs to support cross-functional adoption of tools and processes

Preferred Qualifications

  • Background in SaaS, fintech, professional services, or fast-paced startup environments
  • Familiarity with internal tools and systems rollouts, cross-functional project work, or operational process improvement
  • Interest in building a long-term career in program or project management
