Requirements
- BS/BA in Chemistry/Sciences or related field (four years of related experience may substitute for a degree)
- Authorization to work in the United States indefinitely without restriction or sponsorship
- Professional working proficiency in English
- 6 months of client-relationship/customer service experience
- Additional lab training in methods and QA across multiple departments
Responsibilities
- Set up projects, both commercial and Department of Defense programs
- Review projects in LIMS
- Add project notes (special reporting and invoicing instructions, etc.)
- Review project documentation
- Add project documentation to the central repository
- Set up clients for TotalAccess/My EOL
- Manage purchase orders, task orders, contracts, and change order requests
- Verify that lab compound lists and limits meet project requirements for new projects not quoted
- Add any project-specific limits/lists to LIMS
- Assign and manage deliverable assignment and delivery route
- For new projects not quoted, confirm that EDD format is available (deliverable assignment and delivery route). Submit a helpdesk ticket for any new formats needed
- Communicate project details to operations
- Initiate project kick-off calls with clients and pertinent staff, if needed
- Engage work share labs, service centers, and non-Eurofins Environment Testing locations as needed for new projects not quoted
- Work with operations to ensure adequate capacity for incoming work (forecasting)
- Provide updates to operations on upcoming work
- Be familiar with state and national program requirements as it pertains to work mix
- Create bottle orders
- Schedule couriers or field samplers, if needed
- Confirm non-Eurofins Eurofins Environment Testing subcontract labs are on the approved list and set up as vendors for new work
- Initiate the approval process for any subcontract labs not on the approved list
- Generate subcontract paperwork
- Generate accounting software requisition when sending subcontract samples
- Verify that lab certification meets project requirements
- Verify that lab compound lists and limits meet project requirements for new quotes
- For new quotes, confirm that EDD format is available (delivery assignment and delivery route). If a new format is needed, submit a helpdesk ticket
- Engage work share labs, service centers, and non-Eurofins Environment Testing locations as needed for new quotes
- Provide supporting documentation to clients as needed (contact list, bottle table with preservation, etc.)
- Manage sample receipt
- Communicate any issues to clients for the duration of the project
- Manage incoming work for rush and short holds
- Review log-in
- Resolve log-in issues with clients
- Inform clients of any log-in discrepancies
- Set samples to βavailableβ after review
- Send client sample receipt confirmation
- Review draft invoices
- Confirm that any client-needed information (purchase order, project number, etc.) is recorded in LIMS for invoicing
- Manage reporting, including client-specific report requirements
- Review job lists daily and manage due dates
- Communicate any expected delays to clients before the job due date
- Confirm any data anomalies (filtered > dissolved, deviations from historicals, etc.) with operations before submitting to the client
- Review reports and EDDS before issuing to the client
- Confirm the correct report format and EDD format is used
- Create and issue final reports by client due date
- Issue final data packages
- Manage EDD checkers and data upload
- Compile case narratives
- Manage invoicing, including setting up delivery routes
- Review final invoices before issuing to clients
- Generate credit/debit memos as needed
- Submit credit/debit memos for approval
- Submit approved credit/debit memos to clients, if needed
- Submit revised invoices
- Initiate follow-up calls to confirm correct invoicing
- Work with collections on A/R follow-up
- Regularly review A/R status
- Manage client setup, working with CSM to communicate lab capabilities to the client
- Request new client reviews
- Confirm sales assignments with the Client Relations Manager
- Take new quote requests from clients
- Review client contract requirements/coordinate review
- Review purchase orders
- Submit purchase orders for approval and return approved orders to clients
- Follow up on client terms and credit limits
- Manage account maintenance, including follow-up calls and visits with clients
- Provide technical support as needed
- Use company resources to follow up on client requests
- Be familiar with company capabilities and key contacts
- Forward opportunities and leads to sales
- Forecast upcoming work
- Ask for the next opportunity
- Manage area of responsibility (air, regulations, etc.)
- Manage quotes & proposals, initiating project QAPP review with operations, QA, and subcontract labs as needed
- Initiate technical support from operations as needed (special requests, method development, technical review, etc.)
- Manage quote generation and approvals
- Review client quote requests for capabilities, certifications, and scope
- Confirm client contracts (if applicable) and pricing
- Determine lab placement for the work
- Confirm that lab certification meets project requirements
- Confirm that lab compound lists and limits meet project requirements
- Create quotes
- Submit quotes for approval
- Send quotes to clients
- Forecast quotes
- Provide QAPP/SOW information to clients as needed
- Update status in LIMS
- Manage account maintenance
- Submit client complaints and participate in correction action/follow-up as needed
- Communicate client issues/complaints to sales
- Follow up on client requests
- Support the follow-up of quotes/bids for tracking purposes
Preferred Qualifications
- 2-3 years of client service experience
- Bench chemist or field experience
