Requirements
- 2+ years of event planning and coordination experience
- Proven ability to build relationships and collaborate with a number of cross-functional stakeholders including sales, partner marketing, customer marketing, and product marketing
- Excellent oral and written communication skills, including experience copywriting for email, landing pages, and internal intranet
- Highly organized, detail-oriented, and motivated, with project management experience in a fast-paced, deadline-driven environment
- Travel: approximately 15-20%, including some weekends
Responsibilities
- Assist with the planning and coordination of internal events such as team trainings, department kickoffs, and company-wide programs, and incentive trips
- Support event logistics including scheduling, venue/vendor coordination, travel arrangements, attendee communications, and materials preparation
- Partner cross-functionally with teams across Toast (People, Communications, Sales, Product, Customer Success, and more) to ensure events align with business priorities
- Help ensure consistency and quality across all internal events, supporting both in-person and virtual/hybrid experiences
- Manage event calendars, timelines, and checklists to keep programs on track and well-executed
- Partner with relevant agencies and third parties in the execution of programs
- Contribute to post-event follow-up, including surveys, reporting, and documentation of key learnings
- Assist with basic budget tracking, vendor invoicing, and event-related tools and systems
Preferred Qualifications
- Hands-on experience using Cvent, Bizaboo and other registration systems preferred
- Familiarity with managing budgets and vendor relationships
- Self-motivated, innovative, collaborative, creative, and analytical
- Proven ability to excel in ambiguity and a fast-paced environment
- Strong team player with a positive attitude
