Requirements

  • A minimum of 7-10 years of executive-level support experience, demonstrating mastery in managing complex responsibilities
  • Exceptional organizational and time management skills, with a demonstrated ability to manage details meticulously
  • High integrity with a strong respect for confidentiality and discretion
  • Outstanding interpersonal communication skills across various mediums (in-person, email, Zoom, and phone)
  • Autonomous and self-motivated, capable of executing tasks with minimal oversight
  • Positive, proactive attitude with a passion for supporting executive leadership and contributing to organizational success
  • Experience in a dynamic, fast-paced environment coupled with a commitment to company values

Responsibilities

  • Reduce the administrative burden on executives by performing core tasks including calendar, travel, event coordination, expenses, and meeting planning
  • Improve executive and team performance by making suggestions to improve processes, time management, prioritization, delegation, and organization
  • Coordinate meetings and large events, both internally and externally (including with Omada’s Board of Directors and investors)
  • Act as the point of contact with internal/external stakeholders as an important ambassador of our company
  • Create communication documents for internal and external use
  • Partner with the CEO and other executives to support special projects and requests
  • Travel to local and remote meeting sites and personally direct activities at special functions; have responsibilities for coordinating major communication events
  • Maximize the leverage and impact of key Omada executives through your diligence, advanced planning, and thoughtfulness for every detail
  • Lead coordination efforts for meetings and major company events, providing seamless logistical and strategic support
  • Act as a core ambassador of the Omada brand and critical communication conduit, effectively interfacing with internal and external stakeholders to represent the organization’s values and mission
  • Collaborate closely with executives to spearhead special projects, providing strategic input and driving results
  • Personally manage activities at strategic meetings and events, coordinating major communication efforts at high-profile functions
  • Address complex, undefined problems with creative solutions, demonstrating advanced conceptual thinking and decision-making capabilities
  • Exercise autonomy in determining methods and techniques to achieve results with minimal guidance
  • Initiate and establish formal networks across departments and external organizations, proactively seeking information to guide your priorities
  • Influence diverse stakeholders and audiences through effective communication strategies
  • Foster collaboration by regularly engaging with management across various functional areas, balancing departmental goals with the broader organizational vision
  • Promote and enhance team collaboration, ensuring alignment with overall company objectives

Preferred Qualifications

  • Experience supporting a CEO of either a later stage private or a public company as well as managing public company Board needs
  • Expertise in event and meeting planning
  • Proven experience supporting multiple executives, demonstrating flexibility and adaptability
  • Proficiency in G Suite and MS Office, with advanced skills in tools like GMail, GCalendar, Drive, and Slack
  • Familiarity with Workday or similar travel/expense management systems
