Summary
Join Splice as a Senior Executive Assistant (Contract) and oversee the daily operations and administrative functions within the Content and Marketing organizations. This hybrid role (US CA preferred) is a 6-month contract with potential for full-time conversion and involves managing remote work operations, coordinating with various departments, and supporting executive leaders. You will be responsible for calendar management, travel coordination, expense report management, logistical support, material support, and office/LA studio support. The ideal candidate is a proactive problem solver with strong organizational skills and exceptional attention to detail. This position requires a high level of creativity, exceptional organizational skills, and strong collaboration skills.
Requirements
- 5+ years of proven experience in an executive assistant or similar role
- Proficiency in calendar management across time zones, task coordination, and time management
- Be extremely well organized and detail-oriented
- Possess a high degree of accuracy and meticulous follow-up on tasks and projects
- Have excellent verbal, written, and interpersonal communication skills
- Ability to handle sensitive information with discretion and maintain confidentiality
- Demonstrated ability to anticipate needs, address potential issues, and make quick, informed decisions
- Ability to take feedback well, work autonomously with little direction, and make decisions as needed while maintaining excellent communication with stakeholders
- Experience booking both domestic and international travel
- Proven experience in planning, organizing, and managing events, including meetings, conferences, and special events
- Efficiency with remote work tools such as Zoom, Google Workspace, and Slack
- Some ability to travel as required, such as to provide support for off-site meetings
Responsibilities
- Manage the executive's calendar, coordinating availability with internal and external stakeholders
- Book flights, hotels, transportation, and other accommodations for the executive's travel
- Oversee the preparation, submission, and tracking of expense reports for the executive using Expensify
- Provide logistical support for various administrative tasks and projects as assigned by the executive
- Assist with managing and organizing materials related to the executive's projects or initiatives
- Provide dedicated Los Angeles Studio (Sound Factory) support once a week or more as needed
- Maintain office supplies, coordinate meeting spaces, manage the seating schedule, and address immediate needs in the LA office
- Offer additional office support during events or when teams and departments are present in the office
