Summary

Join Splice as a Senior Executive Assistant and oversee the daily operations and administrative functions for Product Development, encompassing Engineering and Product organizations. You will manage remote work operations, coordinate with various departments, and support executive leaders. This hybrid role also includes event management, planning, and executing conferences, summits, and other gatherings. Requirements

  • Bachelor’s Degree or equivalent work experience
  • 5+ years of proven experience in an executive assistant or similar role
  • Proficient in calendar management across time zones, task coordination, and time management
  • Extremely well organized and detail-oriented
  • High degree of accuracy and meticulous follow-up on tasks and projects
  • Excellent verbal, written, and interpersonal communication skills
  • Ability to handle sensitive information with discretion and maintain confidentiality
  • Demonstrated ability to anticipate needs, address potential issues, and make quick, informed decisions
  • Take feedback well, but also able to work autonomously with little direction and make decisions as needed, while maintaining excellent communication with stakeholders
  • Experience booking both domestic and international travel
  • Proven experience in planning, organizing, and managing events, including meetings, conferences, and special events
  • Efficient with remote work tools such as Zoom, Google Workspace, and Slack
  • Some ability to travel as required, such as to provide support for offsite meetings

Responsibilities

  • Calendar management: Responsible for scheduling appointments, meetings, and events on behalf of the executive
  • Travel coordination: Manage all requested aspects of the executive's travel arrangements, including booking flights, hotels, transportation, and other accommodations as necessary
  • Managing expense reports: Oversee the preparation, submission, and tracking of expense reports for the executive
  • Logistical support: Provide logistical support for various administrative tasks and projects as assigned by the executive
  • Material support: Assist with managing and organizing materials related to the executive's projects or initiatives
  • Planning, organizing, and executing a variety of events, including conferences, summits, high-level departmental meetings, webinars, and internal company gatherings
