Summary
Join Rescale as the Executive Assistant to the Founder and CEO, providing strategic support and maximizing the CEO's efficiency. This role involves managing complex calendars, communications, and travel arrangements, while also handling sensitive information with discretion. You will build and maintain operational systems, support board meetings and investor interactions, and facilitate engagement with key customers and partners. The ideal candidate is highly organized, proactive, and comfortable working in a fast-paced environment. This position requires experience supporting C-level executives in a high-growth tech company and proficiency in various software tools. The role demands high responsiveness, including evenings and weekends, with appropriate compensation offered.
Requirements
- 5+ years directly supporting a C-level executive (founder/CEO preferred) in a high-growth tech company
- Track record running a complex, fast-changing calendar and communications stack with excellent judgment and confidentiality
- Strong operator: you’ve built lightweight systems/cadences that improved executive and team throughput
- Fluency with Google Workspace and modern collaboration tools (Slack, etc), plus automation (Zapier, etc) and AI tools (ChatGPT, Gemini, etc); willingness to own implementation
- Comfortable working with urgency and after-hours needs aligned to CEO schedule, travel and critical events
Responsibilities
- Maximize CEO leverage: Own time, priorities, and follow-through across the CEO’s agenda. Own the CEO’s calendar as a capital allocation problem—design weeks for highest ROI; create focus blocks; pre-read gates; hard trade-offs
- Meeting management: Prep, brief, and debrief the CEO for key meetings; drive pre-work, set decision frames, capture actions, ensure follow-through
- Comms management: Manage communications triage (email/Slack/Text) with clear SLAs and judgment about what must reach the CEO
- Operate with urgency: Be highly reliable and available, including after hours, and during travel time zones or other critical periods
- Exercise impeccable judgment: Handle highly sensitive information with absolute discretion
- Bias to action: Roll up sleeves—no task too big or small; own outcomes end-to-end
- Own the calendar: Manage a dynamic, high-volume schedule; screen requests, set priorities, and resolve conflicts proactively
- Run meetings & travel: Coordinate domestic/international meetings and end-to-end travel (time zones, visas, itineraries, briefing packs, comms)
- Handle complex admin: Deliver diverse, confidential work with tact, initiative, and anticipation
- Deliver at pace: Ship a high volume of work with minimal guidance; respond rapidly to time-critical issues
- Drive operational excellence : Partner with senior leadership to design and run the executive operating cadence that increases throughput
- Build and run the cadence for staff meetings, weekly exec reviews, quarterly OKR checkpoints, and off-sites
- Maintain decision logs, action trackers, and “single source of truth” in a well-managed up to date collaboration doc system
- Implement automations and AI agents (e.g., GPT + Zapier) for recurring workflows (agenda packs, trip briefs, follow-ups)
- Own logistics for board meetings and corporate events; coordinate materials and secure-time distribution; manage cap-table sensitive workflows in close partnership with Legal/Finance
- Partner with Comms/IR on investor and strategic partner interactions
- Orchestrate CEO involvement in top accounts and strategic partners; ensure briefs, goals, and follow-ups convert to pipeline or product signal
- Support external speaking and PR engagements in close partnership with Marketing leadership
- Manage personal calendar intersections and select personal admin so the CEO’s professional commitments are uninterrupted
- Assist with personal tasks to ensure the CEO’s personal life runs as smoothly as their professional one
Preferred Qualifications
- Experience partnering on board meetings, investor interactions, or enterprise customer exec engagements
- Curiosity about technology, science, or engineering; ability to parse technical briefs and extract what matters
