Responsibilities
- Receive and respond to inquiries from potential clients via phone, email, and in-person
- Collect detailed information from clients to understand their travel preferences and needs
- Maintain an organized database of leads and follow up with potential clients regularly
- Research and recommend travel options that best fit clients' preferences and budgets
- Book flights, hotels, car rentals, tours, and other travel services through online booking platforms and supplier networks
- Ensure all travel arrangements are confirmed and documented accurately
- Communicate directly with hotel owners to double-check availability, if necessary
- Serve as the primary point of contact for clients during their trip; if any issues arise while at the destination, clients will reach out to either you or the assigned travel agent
- Provide clients with detailed cost estimates and invoices for their travel plans
- Process payments using secure payment methods and ensure all transactions are recorded accurately
- Manage refunds and cancellations as needed, adhering to company policies and supplier terms
- Assist clients with travel-related questions and provide support before, during, and after their trips
- Handle any travel emergencies or changes in plans promptly and efficiently
- Ensure a high level of customer satisfaction and address any concerns or complaints professionally
- Understand terms and conditions such as cancellation policies to effectively inform clients
- Maintain organized records of all client interactions and transactions
- Assist with marketing efforts, including updating social media accounts and creating promotional materials
- Perform other administrative duties as assigned to support the smooth operation of the agency
