Summary

The Tutor Operations Specialist/Fulfillment Engagement Specialist role at Varsity Tutors involves supporting tutor applicants, updating the digital inventory of sessions and courses, assigning tutors to tutoring sessions, and supporting institutional and course schedule changes. The position requires Level B2 English proficiency, experience with data entry and fulfillment processes, Google documents, professional experience in recruiting, education, customer service, retail, or another fast-paced environment (preferred), strong analytical and problem-solving skills, adaptability to change, self-starting abilities, excellent time management and organizational skills, ability to work independently, multitasking capabilities, willingness to learn business practices, policies, and procedures, availability to work full-time 40 hours a week with at least one evening and one weekend day, high-speed internet access, a quiet work environment, and location based in Brazil. Requirements

  • Level B2 English proficiency
  • Experience with data entry and fulfillment processes (catalog or account updates, inventory management, scheduling)
  • Experience with Google documents
  • Strong analytical and problem-solving skills
  • Comfortable performing all job responsibilities on a laptop or computer
  • Able to perform basic technical troubleshooting with work equipment
  • Highly adaptable to change and thrives in a fast-paced environment
  • Self-starter with exceptional attention to detail
  • Excellent time management and organizational skills. Ability to work independently
  • Ability to multitask in a dynamic environment where priorities change quickly
  • Willingness and ability to quickly learn business practices, policies and procedures
  • Ability to work full-time 40 hours a week, with at least 1 evening and 1 weekend day required based on available shifts (shifts to be adjusted seasonally based on demand if needed). Operating day is from 8:00am - 8:00pm CDT
  • High-speed Internet access (25 Mbps download, 10 Mbps upload) via wired ethernet connection; no Wi-Fi, Satellite or Cellular Hotspot or Cellular Internet
  • A quiet work environment that promotes focus

Responsibilities

  • Support Tutor Applicants and Tutor Onboarding
  • Screen candidates for tutor, group instructor, and educator roles (all independent contractors)
  • Assist the tutor-setup process in the tutor marketplace including supporting applicants via phone, chat, email, and even video if necessary
  • Update our Digital Inventory of Institutional Sessions and Courses
  • Conduct data entry, registration, and enrollment activities for school district accounts
  • Add new courses to digital inventory and providing ongoing maintenance of this inventory
  • Set up sessions in catalog based on client (school system or parent) or course requirements following checklists and documented processes
  • Match students with experts for one-on-one instruction and classes, following document processes and checklists
  • Assist tutors with questions about opportunities via phone, chat, email, and even video if necessary
  • Contact tutors directly about specific sessions or to verify their knowledge or availability via phone, chat, email, or even video if necessary
  • Support Institutional and Course Schedule Changes
  • Partner with parents to identify and assess student’s needs to implement the appropriate tutoring support
  • Audit tutoring sessions to determine compliance with individual school requirements
  • Manage course participants, cancellations, and credits
  • Schedule meeting links for courses when necessary

Preferred Qualifications

Professional experience in recruiting, education, customer service, retail, or another fast-paced environment
