Summary

Join Pavago as a Virtual Assistant in Construction to support renovation projects. Coordinate daily communication between project managers and contractors, lead daily check-ins, and gather updates. Requirements

  • Fluent in both English and Spanish (Portuguese is a strong plus)
  • 2+ years of experience in construction coordination, subcontractor liaison, or renovation support
  • Familiarity with tools like Google Drive, ClickUp, WhatsApp, Slack, Excel, and Monday.com
  • Highly organized with strong attention to detail
  • Proven ability to manage communications with multiple contractors or teams
  • Experience with material planning, vendor coordination, or procurement
  • Strong written and verbal communication skills
  • Able to work independently with limited oversight
  • Comfortable following SOPs, checklists, and timelines to ensure consistency

Responsibilities

  • Coordinate Daily Construction Communication
  • Serve as the primary point of contact between internal project managers and nationwide contractor crews
  • Lead daily check-ins to gather updates, photos, and identify any job site delays or issues
  • Support Material Planning & Procurement
  • Assist contractors with material lists, purchasing logistics, and vendor follow-ups
  • Communicate with suppliers to ensure timely and accurate deliveries
  • Manage Project Tracking & Organization
  • Use tools like Google Sheets, ClickUp, Monday.com , or similar to monitor ongoing project progress
  • Keep all updates documented and organized to maintain transparency and accountability
  • Issue Escalation & Stakeholder Communication
  • Flag urgent problems such as scope gaps, no-shows, or procurement delays to the internal team
  • Ensure clear, proactive, and bilingual (English/Spanish) communication between all stakeholders
  • Maintain Operational Documentation & Workflow
  • Organize project files, update databases, and manage timelines based on internal SOPs
  • Assist with tracking expenses, scheduling tasks, and following up on pending action items
